OFFICE ASSISTANT
Summary on Job Description
- GM assistant Report to GM(foreigner)
- Assist GM with management business, coordinate and push the process and completion of each team-work plan;
- Assist GM with maintenance of main suppliers and arrange relevant business reception, negotiation, etc.;
- In charge of GM’s regular trip arrangements for both business and personal trips(such hotel booking, train& flight tickets bookings, transportation arrangements and any emergencies management during the trips);
- Be responsible for receiving and delivery of GM’s files, letters and correspondences;
- Help GM control with office budget, track and audit office expenses related with employee reimbursement and report to head office in a monthly basis;
- Track expense related with office management (such as office renting fee, property management fee, office car expense, computer renting fee, stationary and office supplies purchasing fee, electricity fee, etc.,) and report to our Legal representative company;
- Be attached to head office and share good news with Shanghai office and schedule cooperate meetings;
- Draft import letters and send to related receiver on behalf of Shanghai office;
- Other assignments from GM related with his personal and work agenda;
- Supervise company’s wechat official account, ensure the normal operation and update.
- Human Resource Area
- Be responsible of employee benefits and always be open-minded to come up with and improve more kinds of benefits for employee (such as weekly badminton activity, Spanish class, office software training, flexibility for working time, etc.);
- Arrange and schedule through different educational and recreational activities;
- Communicate with people and keep getting feedback from them on which areas we did good and which areas we still need to improve and then report to GM to come up with solutions and conduct follow ups;
- Help each department with CV searching and analysis, making appointment with candidates, conduct first round interview where necessary and feedback to department manager;
- Be a key person to connect our Legal representative company HR Manager and HR outsourcing FESCO ADDECO;
- In charge of contract signing and renewal management;
- Employee onboard training and other trainings where necessary;
- Responsible for Employee Evaluation Process by following the standard form from head office;
- In charge of employee profile management;
- Track the validity of all company contracts, update and renew in a timely basis.
- Admin Area
- Implementation with company’s admin regulations and supervise the completion;
- Make policies on electronic devices borrowing, returning and missing to ensure their safety and are in good shapes;
- In charge of searching new proper office, new office construction and office moving matters according to given budget, meanwhile deal with legal department to make sure everything in smooth;
- Organize, plan and coordinate with all activities related with office such as annual outing, Christmas party, annual dinner, birthday celebration, etc.;
- Supervise and record on employees’ attendance and feedback performance to GM and also to each department manager;
- Submit invitation letters for overseas visitors and other requires on visa application for domestic colleagues;
- Keep tracking of office inventory and supplies to make sure adequate supplies;
- In charge of sample receiving, prepare proforma invoice, help with customs clearance and sending samples to head office and other Latin American counties such Colombia, Peru, etc.,
- Handle office switchboard adapter;
- Job Requirements:
1.Good English skills on both oral and writing;
2.At least 2 years relevant working experiences in same area;
3.Good at communications, organization and socializing;
4.Willing to work stably;
5. Able to work independently.
