Summary:
Works with Field Engineering Manager, Supervisor and Field Engineers to provide a range of administrative and secretarial support services. Provides basic level service support to customers.
1. Schedules and dispatches field engineers to customer sites based on analysis of customer
needs and Universal resources and with input from manager or supervisor. Interfaces with other
regions and Universal departments to arrange technical support/field support as required.
Generates Customer Service Order (CSO).
2. Maintains schedule of equipment installations. Contacts customer with shipment date and
carrier, expected arrival date, and field engineer arrival date.
3. Processes and analyzes Customer Service Reports (CSR) from field engineers, under direction
of Supervisor/Manager. Follows-up with customers and field engineers on open items; closes out
CSO work order. Communicates problems to Manager.
4. Independently prepares, generates and processes customer invoices for paid services. Sends to
Finance department. Addresses follow-up questions from customers after receipt of invoice.
5. Prepares Field Engineer time entry and sends to Finance department. Analyzes labor usage
trends and reports to Manager.
6. Composes correspondence to customers, UIC Binghamton personnel, and others independently
or based on verbal or written input from Manager or Field Engineers.
7. Prepares monthly reports, project reports, field engineering presentations based on specific input
from Manager or Field Engineers.
8. Screens and routes incoming telephone calls. Interfaces with UIC Product Division personnel,
Sales, and Training departments to provide customers with service support. Responds to simple
product or technical inquiries, pricing, part numbers, training schedules, shipping dates. Directs
more complex inquiries to the appropriate field engineering or UIC resource.
9. Opens, sorts, and routes incoming mail.
10. Maintains and updates customer mailing lists, equipment lists, and customer files. Maintain
and update training history of Field Engineers.
11. Processes expense reports for Manager and Field Engineers.
12. Processes warranty replacement and upgrade/retrofit and maintain distribution database.
13. Periodically makes travel arrangements for Field Engineering personnel. Coordinates regional
meetings.
14. Orders and maintains inventory of office supplies. Processes office invoices.
15. May conduct customer DIA discussions and follow-up on equipment and systems installations.
16. Completes special projects for field engineering department as assigned.
17. Completes cross-training for Sales Administrator position. Demonstrates the ability to cover
Sales Administrator job duties as required.
Minimum Requirement:
5 years related experiences above. Must possess strong oral and written communication skills both in English and Mandarin. Higher level knowledge and demonstrated application of word processing, spreadsheet, database and graphics software packages. Must be able to work independently in small office environment with minimum supervision. Must be able to handle multiple priorities and juggle multiple tasks. SAP is a plus.
