Office Manager
Description: A multinational company is looking for an Office Manager to coordinate with the Quality Control department’s manager and coordinate all the requested tasks as well as coordinate with General Manager to manage the office Administration, HR and Finance tasks. At the same time, need to perform several secretarial tasks and administrate the operations department’s resources properly. The candidate will be organized, professional and responsible.
a) Requirements:
- A minimum of 1 year related experience (probable).
- Studies: College degree or above.
- Computer Skills: Word, Excel, Power Point, Outlook, Pdf.
- CET-4. Can read, write and speak English fluently. (CET-6 is a plus)
- Can start to work immediately.
b) Abilities:
- Organized.
- Proactive.
- Responsible
- Ethical.
- Excellent interpersonal skills.
- Excellent written skills and good grammar.
- Willing to work under pressure.
c) Languages:
Chinese (Native)
English (Fluent)

Responsibilities:
a) Follow up all tasks and schedule dates and time of termination for every quality control project.
b) Coordinate quality control projects daily and meet deadlines.
c) Make sure all the team in the QC department has the necessary resources to perform each quality control project. Control the equipment inventory and check the condition of them.
d) Make travel arrangements for the QC department on a daily basis (book hotels; buy train, bus and plane tickets.)
e) When needed and indicated by the QC department’s manager to contact with clients and suppliers to request further information for the tasks. And be able to communicate with the inspection labs for QC testing and coordinate with the lab to provide the correct samples on time.
f) Perform administration tasks within the Office and the QC department. Be able to communicate with office building property and the office’s landlord.
g) Perform some basic accounting/cashier tasks to control expenses within the office and the QC department. Register daily expense for Office and Quality Control Department. Check inspector’s monthly expense reports. Issue Chinese Fapiao for suppliers. Manage income payment table, monthly folder and daily task table. Declare income online when needed.
h) Make monthly budgets for office and QC department and revise budget of Peru department. Also manage monthly salaries and all the payments on time.
i) Manage daily and monthly excel tables for all the office and QC department’s tasks. Also coordinate with accountant for some financial tasks and prepare the financial requested documents by the accounting company. Manage western union deposit and housing fund deposit in the bank monthly.
j) Perform general office tasks, including Administration, HR and multitasks when needed in the office. Manage yearly working visa application for foreign staff. Be able to file all the documents properly in the office. Manage staff recruitment, enter and leave process when needed.
k) Manage office garment samples sales. Make pet garments’ orders requested by general manager and Quality control manager on Alibaba and arrange the delivery of pets’ garments in time.
l) Report directly to General Manager and QC manager.
m) Willing to work under pressure.
