Job Description – Shanghai Office Manager

Title: Shanghai Office Manager

Location: Shanghai office

Report Line: Directly to CHF Chairperson

Hours of duty: Monday – Friday / 09:00-18:00 hrs (also required to perform duties outside of normal working hours, including weekends at times.)

Main Duties & Responsibilities: In this role, the OM will be responsible for i) managing the Shanghai Office and its personnel

ii) resource development, which includes building and expanding the donor / supporter / volunteer network, planning and executing fundraising events and initiatives;

iii) managing Chi Heng’s MSM Program in Shanghai.

The OM will:

? Manage the Shanghai office, supervise and develop the team.

? Develop an annual fundraising plan with a budget and fundraising target to be approved by the CHF management committee.

? Manage Chi Heng’s MSM program in Shanghai.

? Design, plan and implement programs which include setting program priorities, budgeting, and resources planning.

? Serve as the point of contact/communication, and represent CHF at fundraising events.

? Manage government and media relations.

? Study and develop funding sources such as writing funding proposals.

? Plan and execute fundraising, publicity and networking events and initiatives to expand and strengthen the CHF donor, supporter and volunteer network.

? Collaborate with the rest of the CHF team and provide leadership or support in areas which the OM has special responsibility or expertise.

? Ensure a safe, orderly and effective office environment.

? Coordinate/manage work assignments of volunteers both in the office and off-site.

? Provide related information/news clippings for CHF website, newsletter and CHF publications as appropriate.

? Manage the approved budget and minimize expenses, spend effectively and only-as-needed.

Position Requirements:

? At least 5 years fundraising/sales/ program management and implementation experience in China.

? Experience in managing teams and working with partners.

? Knowledge and experience in working with Chinese government officials.

? Good leadership, interpersonal and communication skills.

? A team player with the ability to work effectively with diverse personalities.

? Competent in managing time/resources and performing under pressure, and ability to multi-task.

? High standards of integrity.

? Willing to perform duties outside normal working hours including weekends when required.

? Degree in public health, health management, administration, marketing or related fields.

? Proficiency in written & spoken English & Chinese (Putonghua).

? Computer skills: Word, PowerPoint, Excel; keen internet user.

? HIV/AIDS / Public Health work experience will be an added advantage.

主要工作职责:

上海办公室主任岗位将负责下列事项:

(1)上海办公室的日常运行和团队管理;

(2)资源开发工作,包括开发和扩大智行捐赠者/支持者/志愿者网络,计划和执行各项筹款活动;

(3)上海地区MSM项目的开展和管理。

具体职责包括但不限于下列各项:

? 管理上海办公室的日常运行以及团队的建立、监督、激励和发展。

? 制定年度筹款计划、预算和目标,交香港管理委员会審批。

? 负责上海地区MSM项目的开展。

? 负责项目的设计、计划和执行,包括设定项目原则和优先考虑因素,管理预算和资源规划。

? 作为办公室的主要联络人和交流中心,代表智行出席筹款活动。

? 负责管理政府关系和媒介关系。

? 通过社交网络、提交项目申请等开发和拓展募款资源渠道。

? 计划和执行筹款、宣传和外联活动,加强与捐赠者/支持者/志愿者的关系网络。

? 与智行基金会其他团队成员通力合作,承担特别职责或運用个人专长,为其他团队成员提供领导和支持。

? 倡导和维护安全、有序和高效的办公室文化。

? 协调和管理办公室内外部与有关志愿者的任务分派工作。

? 管理智行官方网站的内容,确保文件和简报及时上传到网站。

? 向智行基金会的网站、简报、微博以及出版物等提供信息及编辑简报。

? 负责已经批核的预算的管理,控制并有效地使用必要支出。

任职条件和要求:

? 至少五年筹款/销售/项目管理和执行经验。

? 丰富的团队管理和合作经验。

? 与政府官员交流的知识和经验。

? 较强的领导才能、人际关系处理能力和沟通技能。

? 具有良好的团队精神,并能有效地与不同个性的人合作。

? 良好的时间/资源管理能力,能够在压力下开展工作,具有承担多项任务的能力。

? 为人诚实、正直, 亦要求团队以此作为行为准则。

? 必要时愿意在周末等日常工作时间之外履行职责。

? 公共卫生、卫生管理、行政管理、市场营销等相关领域学位。

? 良好的中(普通话)英文书写和口语能力。

? 计算机技能:能熟练运用Word、PowerPoint和Excel等办公软件及互联网。

? 有艾滋病或公共卫生相关领域的经验优先。
