职位描述
1. Reception and Visitor Management:
Be responsible for external call & Fax & express & letter and record well,no mistake for collect and deliver.
Warmly guide the visitors and contractors to the meeting room or office as required.
Call/fax/express/visitor welcome/Meeting room supplyment.
Be responsible for all the company visitor(expatriates) management, transportation & hotel for the visitors.
To make the meeting room in good condition with enough supply without complain from other dept. Afford support for important visitors or meetings.
2. Permits issue affairs:
Visa/work permit, etc. application for visitors and/or expatriates as well as the tickets booking.
Assistant to departmental manager for permitting affairs.
Communicated with Gov. and Projects Team regarding permits demand. No complain internally and externally.
Keep all the official documents in good condition and file in order. Updated them without delay.
3. Administration service :
Canteen and Cleaning vendor management: tracking and improve the services according to company and employee needs.
Stationery, coffee, water, etc. purchasing.
Cars management: make sure the company/leasing car can be used more efficiency.
Charge register & deliver & control Office consumption materials( stationery/ Pure water/Coffee,Tea,etc.)
To control office consumption inventory well and make Admin warehouse in better situation.( Including coffee 、tea 、sugar 、copy paper etc.),and consolidate Admin office consumption.
Make for the badge for new comers and reissue badges if damage or lost.
To prepare canteen breakfast tickets for all departments, and distribute to the clerk of relative dept. by end of every month.
Hotel/dinner/ticket reservation as company require
To take responsible for the daily management of copy machine/fax machine.If broken , inform the supplier to repair promptly .
4. Communication affairs:
To play the information on TV (such as welcome salutatory, weather forecast & Arkema/HiPro news & photo etc. if it is necessary.)
Assist to organize activities and other required.
Prepare invitation letter for expatriate required
5. Other tasks assigned by supervisor .
