职位描述
Key Responsibilities:
1. Organize executive office for maximum operational efficiency. Organize and maintain filing system/follow up file. Process outgoing mail. Log and track assignments.
2. Maintain confidential information.
3. Type/proofread a variety of documents
4. Maintain/coordinate executive's or president's meeting schedules in a proactive way.
5. Make travel arrangements (domestic and foreign) for key presidents
6. Be proactive in arranging major meetings and conferences, including assisting in making arrangements for visiting executives.
7. Maintain the vacation schedule and process necessary documents for Leaves.
8. Administer/prepare Company for forms/paperwork.
9. Perform other related duties as assigned such as sorting, filing, posting, placing telephone calls, translating/interpreting, typing and the like. Create charts, graphs and slides and prepare simple business correspondence for executives/presidents. Assist in the compilation of presentation materials.
10. Assist other departments when required because of workload.
11. Assist carry out certain business projects independently or as a team member as required.
12. Provide first class translation service
13. Look at ways of managing the time, appointments and workload of the president in a professional way.
14. Act and be seen as the Senior PA, and lead other PA's to improve overall efficiencies of PA and how they support their respective areas.
Skills, experience and qualifications required:
1. Preferred University degree
2. Minimum three years relevant work experience
3. Strong English language skills both oral and written. Fluency in reading, writing and speaking
4. Experienced in using Word, Excel, Powerpoint software.
5. Mature interpersonal skills, pleasant personality, organizing ability, coordinating ability, team work spirit
6. Ability to work on own initiative and with minimum supervision
7. Able to problem solve and think on ones feet
8. Excellent influencing and negotiating skills
9. Enthusiastic and a good team player
10. Strong proficiency in use of outlook
11. Excellent time management, organising and prioritising abilities
12. Decisive and confident
13. Advanced communication and interpersonal skills
