服务描述/ Brief description of service:
Accountabilities /主要职责:
 Role:
-Provide professional administrative support to Supply Chain VP and his team.
-Secretarial support such as document sign off, travel and meeting arrangements, T&E input and tracking, project work, filing and so on

Accountabilities:
Travel/Meeting arrangements
-Review meeting request on daily bases, coordinate with other assistants to finalize the time slot, prepare document as required, book meeting room and send request and remind for attendee to make sure smooth meeting administration
-Aware of travel schedule to make arrangement
-Plan the travel options for best cost and time efficiency
-Discuss upcoming travel plans on regular basis
-Keep the calendars up-to-date
-Access travel information from all relevant sources to provide best options: company provided electronic computer software, relevant reference material, direct airline/hotel contact, secretaries in destination offices, travel agent
-Coordinate with others secretaries on group travel, share car pick-ups and favorable rates
-Keep track visas expiry dates. Take initiative to remind them
-Coordinate well with travel agent on all arrangements to avoid problems, time delays and unnecessary costs
-Remind Directors of schedules

T&E report
-Ask for receipts
-Keep all supporting information well organized
-Follow up and prepare T&E and submit to Finance before the month end closing
-Check for T&E policy compliance

Documents / Computer
-Meet presentation / document needs according to Director’s expectations regarding content, format, distribution and deadline (clarify if uncertain)
-Submit own divisional file on time to the point person of the project for final combination
-Proficiency at:
a. Word, Excel, Powerpoint
b. Quality visual format (clearly convey content, professional appearance)
c. Appropriate choice of application
d. Competent use of application functionality (e.g. table in Word, calculation in Excel and drawing in Powerpoint, linking files across applications)

Preparation of off-site meetings / conference
-Coordinate well with related people (e.g. secretaries, hotels, travel agent)
-Take initiatives to assist anyone with queries
-Provide a detailed logistics

Arrangements for visitors
-Make sure visitors get a valid entry visa for traveling
-Prepare itineraries, logistics to visitors and related parties
-Inform Office Admin in advance for any visas applications

Visas or other applications (e.g. work permit)
-Inform / make appointment with the Office Administrator in advance for preparation and coordination (e.g. make sure sufficient time is given to Office Admin to take process esp. submission to Government Dept; make sure renew work permit has to be done within a month to be expired)
-Complete and submit all relevant application forms & photocopies to Office Admin

General filing
-Filing to be done in a regular basis
-Well organized (easy reference & easy access) so that managers can easily dig out the documents while she is absence
-Soft copies in computer are also well organized (easy reference & easy access) so that managers can retrieve the files in emergency

 -Literacy in both spoken & written Chinese is a must
-Bachelor degree
-Good English skill in both oral & written
-2+ years experience as a PA
-Good interpersonal skills
-Respect for others
-Good time management
-Sense of urgency and priority
-Able to keep multiple action items moving forward
-Raise up questions to avoid mistakes
-Bring up the problems as soon as discovered
-Enthusiastic, positive attitude
