Job Summary

Performs secretarial assist to Head of Business Planning and Operations&& Customer Excellence Head ,Sr. Patient Service Manager & External Affairs, which will often involve contact and exposure to highly confidential materials and information.

Responsibilities include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and supervising other documents; and customer relations.

Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Specific duties vary considerably according to departmental needs or the individual supervisor.

Essential Functions

Responsibilities

40% Manages complex schedules; schedules meetings and makes travel arrangements and manages expense reporting.

Greet and screen visitors and telephone calls, may welcome visitors from region or headquarter.

Manage the relevant contracts according to the business needs

30% Support the Patient Servie Projects including completed the internal approval process and documents filling

Complete and mornintor the relevant expense payment to comply with the company standard

30% Support the External Affairs Projects including completed the internal approval process and documents filling

Education & Experience Requirements

- Bachelor degree with major in administration management, secretarial or relevant.

- Minimum 3 years experience of providing support at senior level management.

Key Skills and Competencies

- Extensive working knowledge of MS Word, Excel & PowerPoint, including advanced knowledge of MS Outlook is essential

- Sensitivity to confidential matters is required. - Able to handle confidential information and issues effectively and without breach of confidentiality.

- Problem solver who is quick to figure solutions and make things happen.

- Experience with expense reporting systems/ software.

- Makes decisions concerning business priorities on Manager's calendar, as well as decisions on operational arrangements for meetings etc.

- Strong interpersonal skills; position continually requires demonstrated poise, tact, and diplomacy

- Able to interact and communicate effectively with individuals at all levels of the organization up to and including Regional level.

- Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling and meeting deadlines.

- Able to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands.

- Flexible in handling multiple tasks of a different nature and have the ability to prioritize efficiently.

- Excellent in both oral and written English.

- Initiate and confident, can work well without close supervision.

- Flexible to change and willing to take challenges.
