MAIN PURPOSE OF JOB
The HR Shared Services Representative is the first point of contact for all incoming inquires, work requests and assists in maintaining the human resource database and all employee records and files. Handles a wide variation of HR administrative tasks related to the employee life cycle such as New Hires, Termination and etc. Assists in informing employees on Medtronic Human Resource policies and programs. Performs general office support.
Delivers efficient, effective and timely resolution and management of CRM requests regarding HR transactions delivered to internal and external customers via the available technology.
MAIN DUTIES AND RESPONSIBILITIES
Customer Service
? Provides customers with accurate, consistent and timely responses to their questions, and issues regarding HR transactional and technology needs.
? Develops an in-depth understanding of the customer’s needs and engages with customers to ensure quality of response.
? Contributes to the continuous development of knowledgebase tools to provide consistent responses to customers.
? Escalates cases in a timely way to appropriate Subject Matter Expert (SME) or Center of Expertise (CoE) if functional expertise is required.
? Promote the use of self-help tools such as Workday and knowledgebase to encourage customers to answer questions on their own
Performance Transactions and Administration Tasks
? Performs administration processing of transactions, data input and verification of required documentation.
? Identify, navigate, research and troubleshoot HR transactional processes related to multiple HR based applications and associated systems.
? Retain ownership of assigned cases until closure with end user.
? Contact person for employees on a wide range of questions related to Medtronic global, regional and country HR policies and procedures and benefits, including social legislation and employment terms and conditions, HR systems and programs;
? Prepares letters, contracts, correspondence, forms and other HR related documents;
? Processes, verifies, and maintains documentation relating to personnel activities such as staffing, recruitment, absence management etc.;
? Explains company HR policies, benefits, and procedures to employees;
? Assists with a wide variety of general administrative projects, providing technical and highly skilled clerical support;
? Support employees and managers in queries about HR systems (Workday, Recognize System, Saba, Taleo).
? Assists in communication with local authorities, administration of local benefits and allowances
Continuous Improvement
? Works with the HR Service Center team to achieve solutions/improvements for all processes/tasks performed in the HR Shared Service Center and pro-actively works on an efficient info flow between HR Partners and other parties
JOB QUALIFICATIONS (level can vary; depending on Medtronic Job Level/House)
KNOWLEDGE/EDUCATION
? Bachelor or Above in addition to one year of customer service related experience.
JOB EXPERIENCE
? above 1 years Human Resource is preferable
? Experience in a front office facing Customer Service/Shared Service environment and/ or administrative job required
? Experience in multinational company is preferable
? Interested to further develop within an international HR Shared Service/Shared Service environment
SKILLS/COMPETENCIES
? Rigorous, precise, curious, follow-up capabilities with strong problem solving skills
? Highly flexible, able to handle multiple tasks and priorities
? Strong technical aptitude, exposure to IS systems.
? Attention to detail and methodical approach required
? Excellent written and verbal communication skills
? Strong service orientation within a multi-cultural environment
? Proven success acquiring new knowledge and learning new skills
? Ability to balance needs of individual customers with the organizational needs
? Independence and ability to take initiatives
? Team player with high level of confidentiality and integrity
? Strong computers skills – PowerPoint, Excel, Word, HRM System (Workday)
