MAIN PURPOSE OF JOB

The HR Shared Services Representative is the first point of contact for all incoming inquires,  Work requests and assists in maintaining the human resource database and all employee records and files. Handles a wide variation of HR administrative tasks related to the employee life cycle such as New Hires, Termination and etc. Assists in informing employees on Medtronic Human Resource policies and programs. Performs general office support.

Delivers efficient, effective and timely resolution and management of CRM requests regarding HR transactions delivered to internal and external customers via the available technology.

 

MAIN DUTIES AND RESPONSIBILITIES

 

Customer Service

 

  • Provides customers with accurate, consistent and timely responses to their questions, and issues regarding HR transactional and technology needs.
  • Develops an in-depth understanding of the customer’s needs and engages with customers to ensure quality of response.
  • Contributes to the continuous development of knowledgebase tools to provide consistent responses to customers.
  • Escalates cases in a timely way to appropriate Subject Matter Expert (SME) or Center of Expertise (CoE) if functional expertise is required.
  • Promote the use of self-help tools such as Workday and knowledgebase to encourage customers to answer questions on their own

 

Performance Transactions and Administration Tasks

 

  • Performs administration of data change process, data input and verification of required documentation in workday.
  • Identify, navigate, research and troubleshoot HR transactional processes related to multiple HR based applications and associated systems

·        Prepare and generate regular report to related department as well as ad-hoc report request from HR, be the owner of report inventory as well as report generation process.

·        Take the ownership of data change process and optimize process to improve efficacy as well as any data clean-up activities needs to be done in Workday, such as security assignment, reporting line and etc.

·        Prepare relates letters for managers such as promotion letter, transfer letter.

·        Assists with a wide variety of general administrative projects globally, providing technical and highly skilled clerical support;

  • Support employees and managers in queries about HR systems (Workday, Recognize System, Saba, Taleo).

 

Continuous Improvement

 

·        Works with the HR Service Center team to achieve solutions/improvements for all processes/tasks performed in the HR Shared Service Center and pro-actively works on an efficient info flow between HR Partners and other parties

 

 

JOB QUALIFICATIONS (level can vary; depending on Medtronic Job Level/House)

 

KNOWLEDGE/EDUCATION

·        Bachelor or Above in addition to one year of customer service related experience.        

JOB EXPERIENCE

·        1 to 3 years Human Resource is preferable

·        Experience in a front office facing Customer Service/Shared Service environment and/ or administrative job required

·        Experience in multinational company is preferable ·        Interested to further develop within an international HR Shared Service/Shared Service environment  

SKILLS/COMPETENCIES

·        Rigorous, precise, curious, follow-up capabilities with strong problem solving skills

·        Highly flexible, able to handle multiple tasks and priorities

·        Strong technical aptitude, exposure to IS systems.

·        Attention to detail and methodical approach required

·        Excellent written and verbal communication skills

·        Strong service orientation within a multi-cultural environment

·        Proven success acquiring new knowledge and learning new skills

·        Ability to balance needs of individual customers with the organizational needs

·        Independence and ability to take initiatives

·        Team player with high level of confidentiality and integrity

·        Strong computers skills – PowerPoint, Excel, Word, HRM System (Workday)
