GENERIC - PURPOSE/SUMMARY
To be responsible for setting up a high level Office Facility Service function and increase our focus on managing all office related to requests from receiving requests, planning, obtaining approval and execute and approve final results. The area of responsibility vary from minor tasks, such as daily rounding ensuring fire escapes are clear, general high standard of meeting rooms are in accordance to procedure, arrange light bulb changes to office construction design, budgeting, planning etc.
The position is a developing position where other service functions, such as Cleaning, safety, security etc could be transferred to and therefore it is of significant importance that the person is outgoing and able to communicate on all level on an organization.
GENERIC DUTIES AND RESPONSIBILITIES (Essential for new employees)
a) Take initiatives to create and maintain correct working procedures within areas of responsibility in all respects.
b) Ensure progress and constant care in all matters within areas of responsibility in all respects.
c) Prepare and continuously update working procedures within areas of responsibility.
d) Prior to decision-making and in view of the budgets, ensure that proper business/economic evaluations are made.
Currently update this job description in conjunction with management.
SPECIFIC RESPONSIBILITIES AND CRITICAL TASKS
a) Supervision and daily management of all Office related matters.
b) Various management tasks.
c) Arrange repair work.
d) Preventive maintenance work.
e) Supervision of rebuilding and new installations.
f) Contact with various authorities concerning technical installations/approvals.
g) Follow-up on update drawings concerning changes of office and other office related installations.
h) Follow-up on service contracts concerning all office related matters.
i) Preparation of and follow-up on various fire plans.
Personal skills
Goal-oriented, Energetic with Strong collaboration skills, Strong planning skills, Self-motivating, Hard working, pro active, strong analytical abilities, excellent communicational skills in English
POSITION SPECIFICATIONS
The educational background could be architectural degree or similar (Office design experience will be an advantage).
Minimum 3-5 years relevant work experience from similar multifunctional position within office management.
