职位表述和要求: POSITION SUMMARY


Purpose


Provide advanced level of diverse administrative support and secretarial assistance to senior regional management personnel that includes Director of Finance and Administration – Asia as well as China Strategy Implementation Manager, regional Merchant Gas GAD team, and regional Merchant Gas Business Decision Support team


The individual supports the managers and organizations based in Zhangjiang Park Office in Shanghai to operate more efficiently and effectively. The job holder is detail-oriented, resourceful, dependable, a quick learner, flexible, reliable, responsive as well as possesses a can do attitude with integrity. The person must be adept with computer software such as Microsoft Office Suite, Outlook, and Adobe Acrobat and skilled at operating office equipment such as the multi-purpose photocopier. Familiarity with internal processes and ability to work with company-specific software such as Payment Request form, E-form, and APOnline Share is a plus. Being organized, she/he has good interpersonal and coordination as well as strong verbal and written communication skills.


The individual functions well in a multi-cultural environment, exhibits maturity in sensitive or challenging situations, and exercises discretion when handling company information. She/he is required to interface with outside parties on administrative matters.


A self-starter, the individual is able to handle multiple tasks and balance fluctuating workload with excellent sense of prioritization.


PRINCIPAL ACCOUNTABILITIES


1.Responsible for general administrative support to Shanghai-based regional functional teams indicated above; serve as administrative liaison with others within and outside the company.


2.Help with the scheduling of meetings, conference calls, corporate/team functions and events, and other appointments.


3.Make flight / train ticket bookings, hotel reservations, and ground transportation for business travel.


4.Handle photocopying, faxing, drafting forms, reports and general correspondences. Maintain and distribute up-to-date group phone and contact list.


5.Collect and maintain accurate data to prepare various reports and statistics.


6.Set up and maintain an efficient office file storage/retrieval system for managers and file correspondences and business documents as needed; help maintain certain APOnline share sites in accordance with management instructions.


7.Coordinate and work with functional management to maintain and update organization charts of the regional teams; maintain distribution lists.


8.Handle, organize, and prioritize incoming information and documents; distribute reports and other outgoing correspondences in accordance with management instructions.


9.Assist with preparation of presentation and meeting material.


10.Prepare payment requests and E-forms for management approval; follow up on questions pertaining to requests for approval for company information release, use of China Legal Representatives’ signature chops, and payment requests.


11.Support managers in T&E expense reporting and corporate credit card issue resolution.


12.Prepare and provide invitation letter for China Visa application for foreign AP visitors on company business; arrange ground transportation and provide administrative support to these visitors when necessary.


13.Answer phone calls, screen callers, and direct incoming calls to the appropriate party promptly and efficiently when management is not available or out of office; take and relay messages; greet visitors.


14.Establish and maintain excellent working relationships with internal and external related personnel and parties.


15.Use informal channels and develop own networks to achieve faster work results for the teams and collaborate with other administrative staff for cross-functional matters.


16.Any other duties as assigned.


JOB REQUIREMENTS


1.College degree in Administration or related field desired, 3-5 years related experience in the administrative or secretarial position. Prior experience in a Finance environment a plus.


2.Proficiency in Word, Excel and PowerPoint; Strong interpersonal skills with basic math abilities and understanding of corporate organization and structure.


3.The incumbent possesses good written and oral skills in English and Mandarin.
