Maintaining every detail of office running.
Supporting each department to make sure they can carry out events and programs well.
Providing nice reception for guests with good manners, which is with great contributions to company image building.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Job Description (Duties to be performed / Job Responsibilities)
Responsible for providing administrative support. Duties include: data entry, filing, copying, distribution, typing and other tasks as assigned. This position requires, attention to detail, ability to manage priorities, data entry, and typing. Intermediate level in Windows environment, including Word 6.0 ,Excel 5.0 and Lotus Notes. Must be very flexible and willing to take on a variety of projects. Experience in front desk in Multinational company environment is a plus.
Minimum Qualifications/ Required Job related Skills
Specific description:
● Responding to telephone calls and inquires efficiently, acted as a switch board for getting in touch with outside
● Receiving clients with smiling service, and inform the right person of being visited immediately.
● Monthly vendor expense report to Admin Manager & HRD. Dealing with the payment for related vendor monthly.
●.Providing clerical support, monitoring supporting to the office operation. Such as photo copying, fax transmission, mail distribution, update files and records to keep current.
● Maintaining office supply, such as stationery, food, water, express delivery, transportation etc.
● Daily delivery arrangements for the whole shanghai office.
● Warehouse Management assisting with Marketing and Sales team
● Providing the whole china office business card supply
● Schedule use of conference room
●.Arrangements for travel employee: ticket booking, hotel reservation, transportation adjustment. Responsible for trip arrangement for all the china staff both air ticket and hotel booking. Contact with hotels to get a reasonable cooperate price. (Depends on which city our colleague’s going to)Supporting other department for their events with the air, hotel and pick up arrangement.
● Responsible for the logistics service as well as invitation letter for short term expat visitors.
●Back up the duty during the absence of the receptionist for each other
● Supportive function for events like ( Annual Dinner & Outing)

Out-going, self – motivated with good English skills ( oral, reading, writing, comprehension)
Skill in OA Software operation such as Windows, MS Office and Internet Explorer, etc

FINANCIAL RESPONSIBILITIES
●Following the travel policy and booking air tickets and hotel at least 3 days before domestic trip and 2 weeks before international trip for reasonable price especially for air tickets.
● Monthly JDE system update( Purchase Order, Vendor Set Up for China Offices inclusive HK office )
● China Offices Admin related Budget Forecast.

QUALIFICATIONS:
● BA or above
● Experience in Admin area would be appreciated
● Excellent interpersonal and communication skills.

● Advanced English language skills.
● Good knowledge of Microsoft Office software
● Proven skills in time management and planning & organizing
