职位描述

Job Title: Executive Assistant
Department: Asia Region Office
Reports to: SVP
Location: Shanghai

General Summary & Purpose:
Provide the secretarial support to the SVP

Principal Duties and Responsibilities:
1) Support to the SVP in routine external and internal communication, deliver the requested information on a timely & accurate basis, manager calendar and arrange internal and external meetings or appointment;
2) Prepare all documentation including translation, reports, minutes, presentation and greeting letters requested by the SVP;
3) Secretarial support to the SVP's personal affairs including:
a) Domestic and international travel arrangement including air tickets, transportation, accommodation, invitation letter and visa application;
b) Handle the monthly reimbursement and keep record;
c) Maintain filing system, leave application system;
d) Handle phone calls, emails if request;
e) Keep record of important docs expiration date;
f) Monitor bank reward points, airline membership miles, and hotel points.
4) Responsible for the SVP' car and driver daily management including:
a) Car maintenance and reparation;
b) Handle and assist car accident if happens;
c) Recruitment of Driver;
d) Driver's OT control, calculation and communication;
e) Driver's expense reimbursement.
5) Daily administration and handle the SVP's family affairs including:
a) Renew or apply visa, work permit, residence certificate;
b) Medical insurance claim arrangement & keep record;
c) Family trip arrangement (air ticket, accommodation, visa, transportation);
d) Communication with house management office if needed, communication with landlord if required;
e) Children's tuition arrangement if required.
6) Responsible for company events assigned by the SVP, including guests' reception and agenda scheduling, transportation and logistics arrange, etc.;
7) Responsible for domestic and international travel arrangement for the whole regional office including air tickets, transportation, accommodation, invitation letter and visa application;
8) Other tasks assigned by the SVP.

Job Specifications (Knowledge, skills and abilities normally required for competent performance in the job):
1) Bachelor degree in Administration, English, etc.;
2) 3~5 years MNC working experience in providing high level secretarial support to senior executive;
3) Fluent in oral and written English and Chinese
4) Good Microsoft skills, such as Excel, Word and PPT;
5) Good learning capability and willing to learn, detail-oriented and diligent with can-do attitude, and excellent communication and interpersonal skills.
6) Have strong sense of duty and be proactive in job;
7) Be able to work under pressure;
8) Good team player, would like to provide support and help to other people;
