Mission
Reporting to the China Office Manager the jobholder is responsible for the leadership of the designated Administration teams.
Activities
1、Organise, allocate and supervise all administrative activities across the project and wages teams to facilitate the smooth running of these key functions for your designated regions. Ensuring that required business targets and objectives are met.
2、On a daily basis ensure that all the required project paperwork has been received from the Business Managers/Supervisors and accurately collate and input the required data onto QTRAK.
3、Any queries or deficiencies must be recorded on the Open Issues List and promptly resolved with the appropriate originator to allow accurate data input/reportage.
4、Manage the timely and correct distribution of customer daily reports on ongoing project activities including any special reporting requirements.
5、 Overall responsibility for the invoicing process. Ensuring that all orders have the required authorisation and that the required invoices are raised within the appropriate timeframe, are correct and appropriately filed.
6、Be proactive in achieving the prompt clearance of all suspended and disputed invoices, escalating
7、issues to the China Office Manager when assistance is required.
8、Provide back up for project and wage administration staff during periods of absence and / or during busy periods.
9、Ensure all required regional reports and data requests are produced and issued in a timely manner, in line with the defined schedules as set out by the business.
10、 By way of internal audit you will monitor individual working practices to ensure that all approved policies and procedures within the business are adhered to. You will also monitor and report on individuals input error counts.
11、Use personal expertise to manage the daily operation of the administration systems making the appropriate recommendations for improvement. Where necessary personally assisting in the agreed implementation plans.
12、Support on business travel & accommodation arrangements for all staff;
13、Handle and distribute office stationary and pantry supplies;
14、Be responsible of making office staff’s attendance records;
15、Support the Finance Department in the resolution of any customer invoicing queries and trade debt issues as required.
Conditions
The jobholder will be predominantly office based with exceptional requests to spend time away from home including periods abroad to support the business needs.
Absence Cover
In absence the other Administrators will cover the role.
