职位描述
工作职责:
1、负责处理办公室行政方面的工作;
2、定期更新项目员工数据,做好人员入职、离职、调动的安排;
3、做好各方面的沟通联系,处理人员费用报销及其他费用的申请;
4、协助处理公司设施管理体系文件的审核、更新,做好项目安全管理,协助组织EHS方面的培训;
5、上级领导安排的其他工作
岗位要求:
1、大专以上学历,两年以上工作经验,设施管理或相关专业优先;
2、英语读写能力良好,能通过英语进行基本交流;
3、熟练使用办公软件
本岗位工作地点为:武汉
Job Title: Facility Assistant - Wuhan
Reports to: Facility Leader
Working for Top 500 Fortunes company, C&W hired
Responsibilities:
Office Operation:
. Handle switchboard, receiving and transferring phone calls and transmitting
messages in a professional manner.
. Receive and direct visitors cordially and comply with visitor registration
guideline
. Update extension list monthly
. Make sure office equipment in good operation and keep close eye on vendor service.
. Annual check for business license and all related document
. Organize office employee activities
. Keep records and input honest comments of vendor service.
. Monthly update voice mail application, call accounting system and door
security system. For urgent/special case, immediate update required.
. Co-ordinate and remind PBAX vendor to update phone system data monthly basis
Finance:
. Monthly headcount update
. Take care of employees’ expense mailing and delivery
. Payment request application on rental, management fee and others in SSS
. Budget preparation for office operation
EHS/SCM:
. Act as site safety leader
. Monthly audit on Wuhan office EHS/SCM findings and close with timely
action plan
. Monthly EHS/SCM News update on Power Suite and other file
. Co-ordinate and organize trainings to safety teams (Site Safety Committee, and sub-team such as fire team, first aid team, ergo team and incident
investigation team.
. Assist construction safety management Committee and sub-teams such as
Fire team and first aid team, ergo team and incident investigation team
. Quarterly ERP update.
Others:
. Support all functional issues, being as good liaison person in all aspects
. New employee on board arrangement and orientation
. Employee exit/transfer process.
. Keep track on cleaning company service - outsourced
. Sort and distribute incoming mails, newspaper and magazines.
. Make reservations and travel arrangements
. Type simple correspondence and undertake clerical recording
. Monthly bulletin board update
. Willing to do extra assignment as instructed
Qualification:
College Graduate or above, MNE experience referring administration preferred
Basic accounting knowledge preferred
Good command of English, Mandarin
Fluent spoken English is a must
Pleasant voice, hardworking, helpful and honest
