Requirement

A bachelor's degree in business, engineering or related field is preferred.
Excellent written, verbal and presentation skills in English and Mandarin
A superior customer service approach to problem resolution.
Strong PC skills (word processing, spreadsheet, presentation and project scheduling).
Membership in related professional organizations such as IFMA, IDRC or BOMA is desirable
Minimum Experience Requirement:
3 years of Facilities Management, or related fields, experience required.


Summary:

1.Tenant Handbook:
Develop, maintain and place on file with Client, a complete tenant handbook for customers residing in designated space. The Hand Book includes appropriate procedures, information and policies. Ensure that all procedures, information and policies are consistent with existing and future policies and procedures.
2. Provide support on admin service of client employees on board/off board
3.FM Performance Reporting:
Follow the agreed format and to be submitted by the 2nd week of the following month.

6.Seating Plan management and update:
7.Project Support
8.Responsible for contract administration and negotiation of all vendors and suppliers.
9. Responsible for access card system management, include access card execution, issue, retrieve and dispose, to ensure process consistent with Novartis security guideline.
10. Interfaces with building property management to coordinate minor repair and maintenance issues.
11. Serves as coordinator for tasks and issues related to presentation and communications to the client.
12. Prepares monthly expense consumption report.
13. Assists Facility Manager in the preparation of operating budgets.
14. Serve as main point-of-contact for emergency needs after office hours, on a routing, on-call basis.
15. Provides support and assistance to general administration of facilities as required by Facility Manager.
16. Other responsibilities which assigned by the Facility Manager.
