Responsibilities:
1. Manage PC’s and PT‘s schedule, appointments, travelling arrangement and incoming calls;
2. Organize meetings, workshops and team building activities for PC and PT. Prepare meeting information (with participates as well), take minutes;
3. Keep close communication with people from headquarters or different divisions and BUs. Coordinate and support cross-functional meetings, seminars and workshop;
4. Assist in trip arrangement and meeting arrangement for oversee visitors;
5. Handle in-coming and out-going correspondences, maintain a filing system (include electronics);
6. Follow up with department heads to ensure availability of department monthly KPI report in server;
7. Create OPL, track status and ensure on time reply/closure with responsible person;
8. Manage visitors to PC office, coordinate VIP, customers and vendors visits;
9. Manage gifts, greeting cards and maintain record according to compliances requirement;
10. Maintain organization charts and PC office job descriptions up to date;
11. Ensure PT/PC office security and maintain office equipment’s functionality;
12. Undertake other duties as assigned by PC and PT from time to time;
13. Organize the internet homepage;
14. Support COM with reports about PT/PC and other activities for internet homepage and/or company magazine;
15. Handle the documents for Plant Manager’ signature;
Requirements:
1. Bachelor degree or above;
2. At least 5 years working experience in personal assistant in multinational company;
3. Excellent English ability, TEM Band 8 / Advanced English Interpretation Certificate holder is preferable;
4. Good computer skills, especially MS office with strong excel and PPT capabilities,
5. Must have the ability to deal with difficult people, manage multiple demands for administrative support and maintain open communication with each department in order to ensure administrative requirements are being met;
6. Good interpersonal and communication skills;
7. High sense of responsibility and able to work into details;
8. Good planning, coordination and problem solving skills;
9. Requires self-motivation with excellent communication and organizational skills;
10. Mature personality and with strong willingness on detail works.
