This position will be responsible for providing overall administrative support to ensure maximum operational efficiency and effectiveness of Company President. This position will also support and co-ordinate corporate training courses and general day-to-day building facility and security requirements.
Typical duties will include:
1. Executive Assistant Support to President;
- Organize office for maximum operational efficiency. Organize and maintain filing system/follow up file. Process outgoing mail. Log and track assignments
- Perform other related duties as assigned such as sorting, filing, posting, placing telephone calls, translating/interpreting, typing and the like. Create charts, graphs and slides and prepare simple business correspondence for executives/managers
- Coordinate President's business activities and maintain meeting schedule
- Maintain calendars/schedules of designated managers, including both domestic and international travel arrangements (domestic/international)
- Arrange major meetings and conferences and assist in the compilation of presentation materials
- Take initiative to help other departments whenever possible
- Administer/prepare Company forms/paperwork and ensure confidentiality & security of documents and information within assigned area;
- Assist carry out certain business projects independently or as a team member as required.
2. Co-ordinate and Support training activities
- Co-ordination of training programs as required
- Maintain record of training delivered and a library of training materials
3. Co-ordinate and Support general building facilities and security support
- Perform role of FAFC Fire Warden (necessary training will be provided)
- Work with FCO facilities Co-ordinator to maintain FAFC office facilities
- Assist in communication and maintenance of office security
We require applicants to have;
- University degree;
- Minimum of 3 years relevant working experience;
- Confident communicator with a strong sense of business issues and retains a focused, down-to-earth professional approach in a hectic work environment;
- Strong English language skills, fluency in reading, writing and speaking;
- Able to manage multi tasks with a flexible/adaptable approach to varying job tasks;
- Experienced in using Word, Excel, and PowerPoint software;
- High integrity, mature interpersonal skills, pleasant personality, good organizing ability, coordinating ability and team work spirit.
