Operations Coordination:
- To assist Ops team to organize regular review meetings and keep track the service orders and potential issues.
- To collect service demand forecast from CSO to assist production to work out timely repair service plan.
- To assist Operations Manager to coordinate, follow up and report non conformities, defects and complaints to & from the customer in a accurate and timely manner.
- To manage, coordinate, follow up and report non conformities, defects and complaints to & from the customer in a accurate and timely manner.
- To assist Ops team to develop Purchase-To-Order process and maintain the accuracy of the system, included but not limited to parts ordering, inventory control, repair manual document, tracking system data analysis & reporting, shipment arrangement, general logistic & courier management.
- To assist Operations Manager to product various reports, forecasts, KPIs, budgeting and presentation
- To provide administrative supports and interfacing with enabling functions at Head office, such as Finance, HR, IT, Quality, Procurement
General Production:
- To apply the PR for purchase the production material.
- To check the inventory of material every month /quarter/Year.
- Other production admin related.
- To coordinate approved program with manager and supervisor.
Administration Coordination:
? To act as an assistant in office daily administration, receiving and managing client enquiries, composing and producing documents and reports in a professional and timely manner and organizing meetings and other arrangements as required.
? To ensure that filing systems are maintained, both manual and electronic, in a manner that information can be easily retrieved. And in accurate with QMS if appropriate.
? To update the company licenses and certificates timely.
? To attend to all incoming telephone calls in a professional and efficient manner.
? To arrange all meetings and visitors from customers
? To ensure that daily postal receipts and cost are administered efficiently and timely.
? To be responsible of company telephone/ mobiles arrangement and management.
? To assist HR and Procurement to select and negotiate with sub-contract service providers such as courier, office house keeping, and office supplies purchase application.
? To provide all round advices and assistance on administrative matters such as Travel Policy, Expense Claim Process.
? To support operations manager with allocated work load.
HR Coordination:
? To coordinate the preparation and placement of advertisements in all channels
? To screen & select resumes and conduct first interview and further interviews arrangement
? To compose job offer, exit interview and orientation
? To assist to prepare & update JD and job specification for each position
? To administer agency selection and operator recruitment procedure
? To conduct orientation training with supports from Suzhou HR team.
? To coordinate the training activities with supports from Suzhou HR team.
? To maintain training records and help to improve skill/ competencies of all employee.
? To be responsible for the summary and statistics of the employee’s attendance datum every month before the date to calculate salary.
? To maintain the employee information & attendance and update the leave records, update annual leave sick leave, no-pay leave and other leave’s information and record of each employee.
? With the support of relative documents, to be responsible for the probation management & signing of new hire’s employment contracts & renewal and ensure that the employment relation is continuous, accurate and legal.
? To be in charge of the personnel affairs including hiring and resignation, to guarantee the continuity of the relative issues and the data are accurate and confidential.
? To familiar with company policy and local labor and SPF policy, and answer the related question of staff.
岗位要求:
? Good written English/Mandarin, fluent oral English/Mandarin.
? A degree or equivalent in commercial, marketing, and HR is preferred.
? Minimum of 5-year experience within healthcare and medical device service industry, with function of Production Planning, Coordination, and HR plus Administration.
? Rich knowledge of PTO, Production planning is preferred. Strong Computer skill in Excel, Word, PowerPoint, Outlook
? Experience in QC/QA document and/or regulatory requirements in medical device industry.
? MNC working experience is preferred.
? Awareness of global business culture and norms. Ability to communicate professionally at different levels.
? Excellent team member, interpersonal skills, ability to lead small to medium size operational team.
? Able to work independently with minimal supervision.
? Strong influence skills to deliver ideas, infinitives and projects with different levels.
? Innovative, result orientated, track record of taking ownership of problem solving.
? Willing to work under pressure, able to work flexible works if needed.
? Reasonably domestic and overseas travels for meetings, and trainings.
