GENERAL SUMMARY:
To provide a high level of organisation and administrative support to the top management, maintaining the smooth running of their divison. Role to include: full support on diary management; travel bookings; reports: co-ordinating agendas; ad hoc project work; monitoring admin related expenditure; business correspondence and communications.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Full diary management, coordinating meetings and conference calls, as well as key meetings for the team.
· Plan agendas for events and trips; booking travel, meetings, hotels, etc, as necessary.
· Communicate effectively and professionally via relevant business correspondence tools; typing, letters, faxes, post, memos, e-mails and voicemails.
· Create, update and maintain PowerPoint presentations, Excel spreadsheets and organisational structure charts.
· Manage invoice process, system and follow up to ensure payments are made.
· Manage expenses, following up to ensure expenses are approved and reimbursements are received.
· Maintain filing system
· Manage departmental holiday tracking.
· Handle all confidential information with complete discretion.
ORGANIZATION RELATIONSHIPS:
Report directly to the top management. Regular communication with all levels of management across the global organisation, including New York & San Francisco, UK, France. Develop working relationship with all relevant functions.
REQUIRED QUALIFICATIONS:
Knowledge, skills & abilities:
· Versatile, dependable individual, able to juggle priorities at short notice.
· Skilled at prioritizing work.
· Must possess a sense of urgency.
· Must work with pro-active nature and be able to use own initiative.
· Professionalism and confidentiality are essential.
· Skilled in Word, Excel, PowerPoint and Org Plus.
· Willingness to learn new skills.
· Excellent command of the English language (spelling, grammar, punctuation etc).
· Excellent communication and interpersonal skills are a must.
· Interest and some Finance or HR understanding
Minimum experience:
· Experience in a senior administrative or PA type role.
· Working knowledge of retail or similarly fast paced environment preferred.
