Job: admin staff (SHA)
Minimum Requirement
Education/Experience
? Graduated with a bachelor degree or above, majored in Business Admin is preferred;
? At least 2 years administration working experience, logistics industry is preferred;
? Have a working experience in Shanghai city.
Special knowledge
? Sound understanding basic corporate function and task control.
? Sound understanding minimum requirement to operate daily business activity.
? Standard English in both speaking and writing
Business understanding/Competency
? Strong interpersonal skills including team player, good communication skill, relationship building skills.
Job Details
1. Office administration (Estimated 40% workload of total role)
1> To be responsible for office and pantry equipment and logistics maintenance, including but not limited to printing papers and posting envelopes, drinking water, coffee & tea, etc.
2> To be ensured the facilities and office environment well maintained. (5S,plant,repair of facilities etc.)
3> To be responsible for the POs (purchase orders) for office furniture, plants and stationary. Maintain an adequate inventory of the stationaries.
4> To be responsible for arrangement of biz trip& hotel, transportation according to company relevant policy.
5> Tobe responsible for driver management.
6> To be responsible for maintaining company certificates on time including renewed application.
7> To be responsible for Managing ID-Card and Key of office door to secure the safe environment.
8> To be responsible for providing and maintaining the company policy regarding document management.
9> To be responsible for new office set up in admin function.
2.Communication coordination(Estimated 30% workload of total role)
1> Organize company events and regular meeting (team building, outing, annual party, dinner parties, farewell dinner, monthly meeting, budget meeting etc.)
2> To serve as the main contact for the internal office inquiries and first contract with the office landlords.
3> To be responsible for communication list updating, ordering business cards, entrance cards, name plates etc.
4> Manage suppliers’ contract and renewal, negotiating with purchase to renew and manage vendors’ quality
5> To serve as the main contact for the internal office.
6> PR
3.Cost Control Management (Estimated 20% workload of total role)
1>Conduct Kaizen activity with regards to admin project to improve quality and efficiency saving GA cost.
4.HR support (Estimated 10% workload of total role)
1>To be responsible for the expatriate support such as work permits/visas application &maintenance, house leasing contract, transportation etc.
2> Provide support to HR for monthly overtime list update.
5.Assistant of Management
1> Support the management miscellaneous duties.
In order to provide the smooth arrangement.
