Position Summary (statements to demonstrate the core purpose of the job )
The Sea Operations Associate will be responsible for planning & executing operational activities related to Sea Operations involving all the file management & operations activities post booking.
The incumbent has to act as the owner of the job file and will also be responsible for creating & updating of shipping documents & Customer Invoices in the system. This role will need to closely coordinate with customer service, program managers, VAS team, and carrier booking team members as necessary to ensure that best in class service is given to our customers.
Key Responsibilities
(The key activities the position is required to deliver on in order to achieve the role purpose/ accountabilities of the job holder)
o Own all Sea Operations activities under file management for the customers under purview.
o Key Activities:
o All File management activities post booking,
o Documentation
o System Updates
o Operational finance
o Proactive communication with customer service in case of exceptions.
o Support customer service in customer query resolution and exception handling
Expectations from the Role
(The outcomes that the job holder is expected to drive through fulfilment of the his/her responsibilities)
Plan Shipment
o Retrieve booking information saved by Customer Service (3 - 4 times) daily
o Plan and execute the booking request & liaise with Customer service for any additional info.
o Update shipment booking file in the system with additional information
o Liaise with relevant stakeholders for execution of various ser. like CHB, Trucking & Insurance
o Terminate / delete the job if commodity, country compliance/ rules not met
Send Pre-advice to Destination
o Create & Send pre-advice to Destination & Register approval of pre-advice
o Perform Carrier Booking
o Register the carrier booking details in the system
o Confirm booking with carrier details / DO to Customer service / Customer
o Send SI to Carrier & receive Master BL
Receive Cargo
o Co-ordinate with CFS team for cargo receipt for LCL shipments
o Create/ Update load plan for shipments in the system
o Receive & Prepare Shipping Doc.
o Update systems and create draft HBL/ MBL & send for verification
o Amend HBL/MBL if required and prepare the final HBL/MBL
o Inform Customer Ser that HBL is ready for printing
o Send AMS/ACI to Customs Documentation staff
o Submit pre-alert to the destination
Other Key Responsibility
o Coordinate with VAS team to ensure timely issue/query resolution
o Troubleshoot and resolve operational issues / escalations
o The cost and sell rates to be reported to finance department for ICB updates
o Monitor corrections required and data quality in invoice
o Issue Credit note if required & transfer the details to FACT
o Support customer service in customer query resolution and exception handling
KPI’s (suggested – working group to validate)
o Sea Operations Performance Delivery aligned with agreed SLA’s
o Action booking saved by Customer service within 3 hrs of booking saved
o Timely submission of pre alert to destination/next leg within 2 days of ETD.
o BL Released within 3 days of ETD
o Release invoices same day as ETD
o Zero Penalties & Ensure Zero Defect Level of documentation.
o Customer Satisfaction Survey scores for relevant customers
o Proper File closure including ICB (Inter-company billing) with all documentation within ETD/ETA
o Timely updates to Customer Service and & Effective query resolution
Required knowledge & Skills (expected entry level requirements for applicant consideration that apply for role)
Operational Efficiency
o At least 2 years experience in a large Operations / Customer service teams with minimum 1 year experience in the Logistics sector with Sea Operations experience
o Complete knowledge of Kewill & MODS, FACT
Communication Skills
o Excellent communication skills and the ability to communicate confidently
Drive for Results
o Persistently drives issues to closure
o Works together with others in the business unit to achieve results, fosters teamwork
