Reporting to the Group CIO, the position is primarily responsible for providing administrative support to the IT department such as general administrative tasks, written communications, PMO administration, basic finance control and logistics.

This position is central for the IT organization, working closely with and supporting the IT leadership team (CIO, head of technology, head of infrastructure, head of applications, etc).

Key Duties and Responsibilities:

? Handles administrative tasks for IT department
o Serves as principle point of administrative contact and liaison with internal and external parties
o Provides general administrative support to the CIO and IT team
o Performs researches and analysis on specific topics

? Written communications
o Produces meeting Minutes for key meetings
o Prepares draft IT communications & newsletters
o Translates key documents (Chinese <–> English)
o Produces reports, presentations and briefs on IT activities

? PMO administration
o Manages project Portfolio master documents
o Gathers and organize projects periodic reports from project managers
o Maintains department documentations (templates, contracts, etc) - Internal and Customer

? Basic Finance control
o Compiles IT spending and produce basic cost control reports (ex: spent vs budget), with support of Finance department
o Supports the budget creation process

? Logistics
o Schedules and coordinates key meetings, conferences, training sessions and special events
o Oversights daily office operations logistics (good receptions, supplies, etc)

? Fluent in English and Chinese (written and oral)

? Proficient in the full suite of Microsoft Office products and tools.

? Skill in budget tracking
? Knowledge of general accounting principles.




Education & Experience Requirements:
The ideal candidate should possess:
     
? A minimum of 2 year of administrative experience
? (IT administrative experience a plus)
? Proven administrative skills
? Familiarity with cost tracking and budget control
? (Experience in IFM industry is a plus)
