Report to:General Manager
We are looking for an outstanding business professional with a strong track record of interpersonal skills, business, creative instincts and administrative ability.
The ideal candidates will play a central role in keeping the business operations/activities organized, on track and moving forward. Candidates must have exceptional communication skills, the ability to manage multiple tasks efficiently, excellent judgment; comfortable juggling tasks from the mundane to the more strategic and can work productively in a fast-paced, team-oriented environment with a smile and a sense of humor.
Job Focus:
Manage and supervisor the office/finance functions of the Shanghai entity. This includes office administration, human resources, all financial functions, IT support and facilities.
Main Responsibilities:
1. Preparation of Monthly, Quarterly and Annual Financial statements..
2. Provide GM analytical reports and meet with them on a monthly basis to review progress.
3. Preparation of the monthly detailed account reconciliations and make recommendation of process improvements.
4. Manage all tax aspects of business.
5. Maintain fixed assets record of the business.
6. Assist the GM with the preparation of the annual budget for company. Must also provide input, ideas and recommendation on the progress of the budget.
7. Supervision and assistance in the accounts receivable and payable processes which includes approval of all invoices, defining processing requirements of AR & AP and payment & receipt processing.
8. First point of contact for all accounts payable calls from vendors.
9. Monitor cash balances on local accounts
10. Maintain Finance Chop.
11. Prepare weekly payroll and ensure payments are both on time and accurate
12. Maintain confidentiality of personal details and payroll information
13. Supervise payroll process thru external or internal resources.
14. Utilize internal and external sources to achieve targets in HR.
15. Manager, compensation, benefits, recruiting and performance management.
16. Maintain procedures, manual and contracts for employee’s HR issues
17. Maintain calendar of company schedule
18. Organizing facilities, ordering furniture, ordering & maintaining supplies, office procedures and records management, equipment inventory, updating building moves/relocation.
19. Manage all utilities and vendors.
20. Select and manage IT vendors to ensure company’s IT requirements are met.
Main Requirements:
1. Minimum requirement, Bachelor’s degree in Accounting.
2. Minimum three years experience as a Financial Manager
3. Understanding of business back-office functions with an emphasis on internal controls.
4. Written and Oral language skills vital – English and Mandarin (English will be primary working language).
5. High degree of PC literacy very important - Microsoft Office products with a proficiency in Excel.
6. Prior experience in payroll and taxation.
7. Knowledge of HR systems and Chinese Labor Laws.
8. Some experience with IT support and facility management.
