职位描述

DUTIES AND RESPONSIBILITIES

* Facility Management

1、 Be responsible for office facilities maintenance including printer, copy machine, air conditioning and etc., supporting administration team leader for maintenance contracts negotiation and supplier selection and setting up maintenance filing and recording;

2、 Monitor and maintain the proper use of company property to ensue effective office facility supply; Be responsible to advice PIC in administration team about any assets purchase, transfer, disposal & missing if any.

3、 Premises rental & Facility related payment settlement timely according to lease agreement;

* Security Management

1、 Door Access system management.

1) Monthly access report checking;

2) Access system equipment daily maintenance;

3) Assist BJ office with system update program;

4) Door access cards daily management & access right updating according to policies and procedures

2、 CCTV system management;

1) Checking CCTV records daily & per request according to procedures setup;

2) System checking and maintenance per CBRC and PSB request;

3、 CER room daily management (environmental daily inspection: air-condition, UPS, alarm system…);

1) Recording CER room daily environment according to policies and procedures;

2) Monitoring equipment, including UPS, air condition, power, humidity, alarming system, etc.;

3) Contacting related parties and coming on-site whenever receive equipments error alarming;

4、 Office Key management

* Evacuation Plan & Drill related

1. Assist BHFM with seasonal anti-robbery drill;

2. Arrange annual fire drills for all sites of Shanghai branch;

3. Assist team leader for BCP onside drills;

4. Assist PSB with security drills;

5. Assist team leader to arrange annual evacuation drills and update evacuation plan;

* Assist team leader for administration management

1. Fire control (such as: fire extinguish and relevant things checking and purchasing);

2. Premises project assistant;

3. Support team leader & HQ premises team for premises related projects planning and on site management

4. Other jobs assigned by Team Leader.


EMPLOYEE SPECIFICATIONS
* Bachelor degree or above

* 3 years working experience in foreign bank is preferred, but not a must

* Knowledge of office administration / property management / project management is preferred

* Good service attitude

* Good communication and time management skills

* Work result driven and able to deliver under pressure

* Efficient producer while details oriented

* Spirits of team works

* Strong written and oral communication skills in English & Mandarin
