Position Summary (statements to demonstrate the core purpose of the job )
The VAS Operations Manager will be responsible for planning & executing operational activities related to VAS Operations to deliver optimal operations performance in accordance with the Area Business Strategy and agreed Customer SLAs.
The incumbent will be responsible for executing all the VAS activities end-to-end, related with Trucking, Customs House Brokerage, Warehousing and Cargo-Insurance. On a day to day basis, this role will be required to ensure consistent, seamless end-to-end delivery of VAS operations and support the customer service teams in resolution of customer queries and escalations.
Key Responsibilities
(The key activities the position is required to deliver on in order to achieve the role purpose/ accountabilities of the job holder)
o Own all VAS Operations activities for the customers under purview.
o Responsible for executing all the activities handled associated with Value Added Services including Trucking, Customs House Brokerage (CHB), Warehousing and Cargo-Insurance.
Key Activities:
? Planning & procurement of VAS as per customer requirements
? Execution of all file management activities
? System updates
? Documentation
? VAS procurement as applicable
o Implement tailor made strategies for warehousing, transportation (Primary/Secondary)
o Receive specific product requirements, safety norms, vehicle type preferred, storage locations
o Support and provide inputs to arrive at the right solution for storage and distribution in conjunction with business while meeting service level and cost goals
o Support customer service in customer query resolution and exception handling
Expectations from the Role

VAS Procurement and Vendor Management
o Create an approved pool of vendors; design and implement a vendor approval process.
o Maintain relations & conduct regular review meetings with Vendors.
o Negotiate and maintain standard agreements/rates with vendors /other service providers
o Prepare & maintain operational Contingency Plans
VAS Operations Delivery
o Drive VAS delivery targets for the customers under purview
o Customize the product as per the needs of clients and foster the culture of customer satisfaction
o Negotiate and maintain standard agreements rates with clients
o Ensure accurate revenue and cost data is maintained for client
o Troubleshoot and resolve operational issues / escalations
Data Quality & Process Improvement
o Ensure adherence to the SOP & create/modify as appropriate
o Ensure Data Quality in Documentation
o Identify the areas of improvement & implementation of process improvement initiative
o Actively contribute to the reduction in DSO (Accounts Receivable) & recommend suitable actions to Customer Service Teams
Partner with the Customer Service Teams
o Meet up with the Customer Service team members on a regular basis to identify the list of critical customers and review operations performance on a daily/ weekly basis. Discuss potential improvements to VAS operations service delivery
o Participate in Monthly/quarterly formal reviews with the critical customers
o Develop an strong understanding of the business of Critical customers to aid customer retention
Operational Finance
o Create Cost & Rev. Estimates & Ensure accurate revenue and cost data is maintained for client for correct financial reporting. Report cost and sell rates to finance for ICB updates.
o Issue Credit note if required & transfer the details to FACT
o Closely coordinate with Finance to ensure collections/payments are made in a timely manner.
o Drive financial improvement plans of existing customers and ensure profitability as per corporate requirements
o Ensure timely hard closure of the jobs
o Ensure compliance with all of its statutory requirements for Customs, Ports, and local authorities
KPI’s (suggested – working group to validate)
o VAS Operations Performance Delivery aligned with agreed SLA’s
o Planning & procurement of VAS as per customer requirements
o Execution of all file management activities
o Documentation and
o VAS procurement as applicable
o Customer Satisfaction Survey scores for relevant customers
o Contribution Margin measurements( CM1)- VAS
o VAS Business growth & penetration
o Timely updates to Customer Service and & Effective query resolution
Required knowledge & Skills (expected entry level requirements for applicant consideration that apply for role)
Operational Efficiency
o At least 2 years’ experience in a large Operations / Customer service teams with minimum 1 year experience in the Logistics sector with VAS Operations experience
o Complete knowledge of Kewill & MODS
Communication Skills
o Excellent communication skills and the ability to communicate confidently
Drive for Results
o Persistently drives issues to closure
o Well organized when working under pressure
o Works together with others in the business unit to achieve results, fosters teamwork
