Location: Sarnia,Ontario., Ontario, Canada
Responsibilities:
Document Control:
· Document Control focal point for TA (turnaround).
· Receive and track engineering and management of change packages.
· Issue project packages to Contractors via transmittal.
· Update and maintain the TA Coordinators project binders.
· Update packages and control spreadsheet as new revisions are received.
· Audit the project packages drawings/documents to ensure all are received as transmitted. Notify Projects and TA Team of any discrepancies.
· Create change reports to monitor amount of changes post “Issued for Construction” dates.
TA Planning Period:
· Prepare, assemble and copy Execution Packages for Turnarounds – number of copies required as indicated by the TA Coordinator (i.e. 8-10 units per year with 15-20 binders per Contractor; 12-15 copies of each binder; 3-4 contractors).
· Book meetings/conference rooms for TA group planning teams– daily, weekly and monthly meetings.
· Assist with creating the TA Execution and Logistics Reference Book for each TA; make the necessary copies and distribute to site execution organization.
· Create planning and execution organization charts for each TA.
· Schedule Turnaround assurance reviews for all medium and large events. Includes booking external and internal interviews for 20-30 people. Approximately two weeks twice per year.
· Schedule added work request meetings and organize packages for review.
· Prepare spreadsheets and documentation for tracking actions, status and reporting on and off-site.
· Create schedule and book the leadership team for Daily Safety Audits, for each Unit, for the duration of the TA's.
Support During TA Outages:
· Document Control for changes during the execution period.
· Update status charts and take status and actions for each unit daily 11 o’clock TA Management meetings.
· Compile data from various sources into one daily TA Status Report. TA Manager utilizes this report for internal and external Management Updates.
· Compile and Print Primavera Reports (daily) for status review for TA Manager/others.
· Vet, copy and distribute the TA Newsletter to the site(created for larger TAs).
· Order/organize recognition lunches and overtime meals, as required/requested by the TA Manager and Coordinators. Up to 500 workers.
· Other admin functions that offload the TA Manager and TA Coordinators during execution.
Support Post TA Outages:
· Compile all TA Learning’s from all departments on-site into one spreadsheet for TASC (Turnaround Steering Committee).
· Ensure all required documents/packages are saved, stored, organized for future planning use.
TA and Major Maintenance Admin Schedule Requirements:
· 3 days per week General Office Management, Document Control, Planning Period and Post TA.
· 5-6 days per week during Major events Turnaround Execution. Some overtime and weekend work may be required at peak times.
Requirements:
· Minimum of 3 plus years of administrative experience in an industrial setting.
· Business Administration Certificate and document management experience is an asset.
· Must be proficient using MS office software including Word, PowerPoint, Excel, and Outlook.
· And also skilled using Livelink, MOC, etc.
· Must have an eye for detail when working through tasks.
· Must be able to balance competing priorities and have good time management skills in order to work within tight datelines.
· Experience interacting with staff at various levels.
· Experience handling sensitive matters with integrity and discretion.
