ESSENTIAL DUTIES AND RESPONSIBILITIES:
了解服务作为一个业务部门的商业管理及汇报流程。
Understanding service as a business unit, commercial management and reporting;
作为团队成员,配合服务经理的工作。
As a team member work with and coordinate with the service manager;
对与部门本身及发展相关的流程、程序及政策进行制图。
Mapping process, procedures, policies and input into their development and improvement;
向负责行政部的执行助理提供高水平的商务、行政及汇报支持。
Provide high-level commercial, administrative and reporting support to executive assistant in charge of administration;
实施调研、编制统计报告,处理信息需求并执行文书功能如撰写书信、翻译、接待访客、安排电话会议、安排会议,申请商务签证及出差安排。
Conduct research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, translation, receiving visitors, arranging conference calls, scheduling meetings, applying business visa and travel arrangements.
可聘请、管理及对文员进行培训。
May also hire, manage and train clerical staff.
能够同时对多个项目按照优先程度进行处理及管理,并及时对问题进行追踪。
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
就劳动生产率、时间管理及现金成本进行汇报。
Reporting on labor productivity, time management, and out of pocket costs;
与客户就服务工作进行回访并提供给中心。
Contact with customer for service work feedback and provide to central.
准备大修、预防性维修及紧急服务等的报价及对备件销售管理的支持。一旦完成联系负责该账户的销售经理并就需求与客户对合同进行协商。
Prepare service quotation for rebuilding preventative maintenance and emergency service, etc. with the support of parts order desk management. Once completed contact sales manager in charge of the account and as required negotiate contract with customer.
追踪服务工作及合同回款,检查合同的履行。
Track service work and contract payment, examine the execution of contracts.
准备服务统计报告如服务报告、质保报告、预算报告及工时报告(生产率),现金报表及对账等。
Prepare service statistic report such as service reports, warranty reports, budget report, labor report (productivity), cash journaling and reconciliation (safe) etc.
检查费用报告并转给财务部。
Check the expense report and transfer to finance department.
管理及批准所有区域服务中心员工的每日出勤,再每月26日提交区域出勤报告给薪酬专员并抄送给人力资源部门进行统计。
Manage and approve the daily attendance of all employees in regional service center, submit monthly regional attendance reports to payroll/accounting with Cc to human resources department for statistical by 26th each month.
进行日常管理、组织办公、办公用品采购、客户手册的组织及维护。
Take care of the operations management, office organization, purchasing of supplies, organization and maintaining of customer manuals.
如果需要库存,管理库存使用并汇报给财务部。
If inventory is required, manage the use of inventory and reporting back to accounting.

QUALIFICATIONS:
理想的候选人对在相关任务中提供广泛的行政及执行支持有丰富经验并在极少或无监督的情况下独立工作。该名工作人员需具备条理性、灵活性并能够享受在支持由不同人员及程序组成的小型办公室的过程中所面临的行政方面的挑战。
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.

Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
教育及/或经验
EDUCATION AND/OR EXPERIENCE:
4年大学本科学位,或多于5年的相关经验及/或培训,或相当的教育及经验。
Bachelor’s degree (B.A.) from four year college or university; or five or more years related experience and /or training; or equivalent combination of education and experience.
语言及计算技能
LANGUAGE AND MATHEMATICAL SKILLS:
- 能够在书面及口头用英语进行交流。能够阅读、分析、解释一般商业期刊、专业杂志、技术程序或政府规定。具备撰写报告、商务书信及操作手册的能力。具备在经理、委托方、客户、及公众面前有效呈现信息并就相应问题进行回应的能力。具备作出决定并就该决定的实施提供清晰简洁的指示的能力。
- Ability to communicate in English in written and speech. Be able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to make decisions and give clear and concise directions to carry them out.
