职位描述
Job Responsibility:
· Act as the liaison with executive's clients; extensive phone contact.
· Organize and categorize executive's mail (paper and electronic) ; act upon issues not requiring executive involvement; organize and highlight critical information; forward mail to executives preferred location.
· Prepare original correspondence on executive's behalf.
· Transcribe dictation from tape, voice mail, handwritten notes, etc.
· Schedule/coordinate appointments between executives/clients, keeping executives and other personnel informed as needed.
· Manage and coordinate calendars for one or more executives, often involving extensive rescheduling.
· Arrange domestic and international travel plans (e.g., flights, hotel, car, ground transportation, upgrades, and visa/passport) that may involve multiple locations for one or more executives. Confirm accuracy and completeness of arrangements and deliver tickets and other documents to executive.
· Arrange all aspects of on-site and off-site group meetings (space, catering, technology, transportation, materials, etc.).
· Coordinate work through service departments as appropriate (e.g., Research, Graphic, Travel, etc.) and ensure accuracy and completeness of arrangements/deliverables.
· Prepare advanced graphics and other complex documents (i.e., spreadsheet, tables, and presentations). Print, reproduce, assemble and distribute materials.
· Perform information searches ,analyze data based on research objectives and present information in an appropriate format to best represent findings
· Serves as a recognized resource for firm knowledge (e.g. policies, procedures and contacts).
· Maintain files/records relating to project or function using filing standards.
· May coordinate the work of others and delegate work to them as appropriate. May provide input to performance reviews.
· Initiates and implements process improvements.
· May participate in mentoring and training initiatives.
· May participate, either voluntarily or through supervisor's request, on task forces, committees.
Requirements:
· Over 3 years working experience related to Admin service in Joint Ventures or Foreign Invested Enterprise
· Over 1 year working experience as Personal Assistant/ Secretary.
· Good communication skill (both in Chinese and English)
· Quick learner with nice personality
