职位描述

1. Brief Description

Provide assistance to Regional President North Asia and the North Asia department heads through performing a variety of administrative assignments in a professional manner.

2. Key Result Areas

Communication with other APL local, regional and Head Offices;
Event, meeting coordination and travel arrangement
Interpretation and translation.
General support to regional departments.
Administrative Support on Expat Assignment Related Issues

3. Key Accountabilities/Duties

Provide interpretation when required, especially with senior visitors, English language proficiency must be sufficiently strong.
Assist to follow-up with team members on behalf of President or other Regional heads.
Assist with internal communication messages.
Maintain and co-ordinate events and meetings for President and other Regional heads. Also, co-ordinates calendar of travel and events of management team members.
Manage RP’s timetable/agenda; arranging business trips; daily review of RP’s schedule and assign work accordingly.
Make travel arrangements for President and Regional teams when required.
Preparation of presentations and general correspondence.
Manage incoming and outgoing phone calls.
Handle daily administrative assignments as given by President and other Regional heads.
Liaise with other APL offices in the region, Headquarters and other APL locations around the world as required.
Liaise with customers, vendors and other parties as requested.
Take meeting minutes as required.
Manage the stationery supply (standardise order forms and regular replenishment for better control) .
Manage the renewal and updating of common shared newspapers, magazines and other publications.
Distribute the periodic G&A expense report and collate feedback from each regional dept.
Help process and submit the EER for dept heads (to be reviewed & agreed with dept heads – limited to corporate credit card to ensure timely payments and accruals. Cash EER should continue to be managed by individuals)
Provide cover to other Admin Assistants in Shanghai office when required.
Provide Support and Coordination of Requests Related to President’s Expatriate Assignment.
Manage and Maintain the Attendance Records of North Asia Shares Services Staff.
Handle other ad hoc tasks assigned by President.

4. Incumbent Specification

Education

Bachelor degree or above, preferably with major in English or business administration;


Experience

Minimum 4 years working experience with at least 3 years in the position of Executive Assistant or GM Assistant in MNCs.

Skill set

High proficiency of both written and oral English as well as Mandarin;
Good command of computer skills.

Excellent leadership and communication skills
Passion to the function, think ahead and attend to details.
