职位描述
JOB DESCRIPTION
1 Attend to all incoming and outgoing telephone calls and pass on or refer to the person concern with any necessary information.
2 Receive customers, vendors, and visitors in general to Jabil.
3 Responsible in controlling and issuing shoe straps and/or ESD shoes to vendors and/or visitors.
4 Assist Jabil staffs, vendors, customers, and/or visitors in making outgoing calls and to provide simple assistance (e.g. arranging taxi services, restaurant bookings, etc.) upon request.
5 Responsible for arranging Reception flowers, replenishment of drinking water, and paper cups at the dispenser located at the reception area.
6 Record all outgoing outstation and/or international calls made and prepare and submit monthly telephone charge report.
7 Conduct in-house paging (if any) in emergency situation only, and when instructed by supervisor.
8 Responsible to gather, sort, distribute all incoming and outgoing mails, and to coordinate courier services as and when requested.
9 Assist in other clerical functions as and when instructed by supervisor.
10 Reforwarding of faxes received through the server electronically via the general fax line to the appropriate Jabil employees.
11 Responsible for franking, recording, etc., of outgoing mails.
12 Responsible for the general upkeep of Reception area, vendor meeting rooms and washroom located near the Reception area.
13 Adhere to the Receptionist Code of Conduct (Appendix 1)
GENERAL REQUIREMENTS
1 Possess a pleasant personality and must be proficient in both oral and written English and Chinese (Mandarin and Shanghai dialect).
2 Must be able to interact with all levels.
Receptionist Code of Conduct
1) Smartly dressed and be presentable at all times.
2) Maintained a professional image, in person as well as in answering phone calls at all times while on duty.
3) Be tactful, courteous and pleasant when dealing with customers/visitors/vendors as well as internal staff.
4) Be punctual for duty in the morning in order to open up the Reception counter.
5) Be prompt in answering phone calls (not more then 3 rings) as well as transferring calls.
6) Be consistent and used standard greeting: "Good Morning/Afternoon. May I help you" when answering incoming calls.
7) No consuming of food in front of visitors, etc and at Reception counter while on duty.
8) No engaging in long chats over the phone or with personnel at the counter other then work related matters during working hours.
9) Show respect and have consideration with one another when it involves interchange of shift work, annual leave /emergency leave application.
10) Do not change shift unnecessarily causing disruption to the workflow at the Reception.
11) Ensure open communication between colleagues and smooth transfer of duties after every shift.
12) Paging is to made only in emergency situation. Exercise discretion when there are requests for in-house paging to be made. When in doubt, verify with your supervisor.
