POSITION OVERVIEW职位概述
Ensure admin work to support company operation timely and effective.
确保行政后勤工作对公司运营及时、有效的支持。
DUTIES AND RESPONSIBILITIES岗位职责描述:
1. Responsible for meeting organization, arrangement and service, record, keep meeting minutes, keep conference devices, like projector, remote device, voice box and etc., and ensure normal running;
负责公司会议组织、安排及服务工作,记录与保管相关会议记录,保管会议设备(如投影仪,遥控器,音箱等)并确保其正常使用;
2. Responsible for company internal and external propaganda, prepare internal publications and PPT; responsible for Handling administrative affairs, including book airplane ticket and hotel, handle invitation letter, visa, making business card, manage drinking water, update employees address list and etc.;
负责公司内外部宣传活动包括内部刊物与演示文稿的准备;公司行政事务的处理,包括机票、酒店预定,办理邀请函、签证等,制作名片,饮用水管理,定期更新公司通讯簿等;
3. Responsible for applying for reimbursement of supplementary medical insurance for employee;
负责员工补充医疗保险的日常报销工作;
4. Formulate management process of administration archive, in charge of collecting, classification and keeping for all administration archives;
制定行政档案管理流程,负责行政档案整理、分类、保管等工作;
5. Formulate, implement, supervise and perfect administration policies, including information security, administration vehicle management, visitor management and access management, ensure administration work running smoothly;
制定、执行、监督与完善行政管理制度,包括信息保密、行政用车管理、访客管理及出入管理制度,确保行政工作顺利进行;
6. Responsible for management stationery, HR PPE etc;
负责办公用品,人事劳保用品等;
7. Responsible for management shuttle bus, vehicle for daily and activity use;
负责管理班车、日常及活动用车;
8. Responsible for canteen management, communicate with meal company and check quantity of meals;
餐厅管理,负责与送餐公司沟通并每日核对用餐量;
9. Responsible for security and clean-keeping management, communicate with cleaning company and inspect cleaning situation with cleaner supervisor, ensure company’s environmental safety, clean;
负责安全与保洁管理工作,与保洁公司沟通协调并与保洁管理员巡视公司清洁状况,确保办公环境安全、干净;
10. Assist HR Manager formulate administration budget/forecast and cost control;
协助人力资源经理编制预算与成本控制;
11. Manage and keep company keys, including employee wardrobe, file cabinet and department;
负责管理员工更衣柜、文件柜以及部门钥匙;
12. Formulate fixed-assets management policy and Office supplies application policy, and carry on using record and checking;
制定固定资产管理制度和办公用品申领制度,并进行日常登记、核查;
13. Answer and transfer calls, help to leave message, send-receive fax, receive and dispatch express, letter, press and etc;
负责日常电话接转、留言,传真,快递、信函、报刊等的收发管理;
14. Responsible for registration, receiving and introducing visitor and guest;
负责访客、来宾的登记、接待、引见;
15. Apply for administrative purchasing requisition;
负责行政相关付款申请事宜;
16. For any problem during job, need to rectify and adopt necessary prevention measure;
针对工作中,发现问题的任何问题应及时进行纠正,并采取必要的预防措施;
17. Achieve any other tasks assigned by the HR Manager.
完成人力资源交办的其他工作。
QUALIFICATION岗位基本要求
1. Bachelor degree, major in administration, English or related;
本科学历,行政管理、英语专业或其他相关专业;
2. Min. 1years administration related working experience in Manufacturing industry;
至少一年生产型企业行政相关工作经验;
3. Be versed in OFFICE software, good English skill;
熟练使用office 办公软件,良好英语能力;
4. Should have communication skill and team work spirit, Should have strong service awareness.
良好的沟通技巧与团队合作精神,具有较强的服务意识。
