Purchasing Assistant
The Role
The Purchasing Assistant is responsible for the purchasing of goods and services in accordance with school’s policies, procedures, and guidelines.
Main Responsibilities
· Initiate purchases according to purchasing policies and procedures. Take full responsibility through the whole procurement process:
- Sourcing and quotation confirmation based on user’s purchase request
- Assist users to create PR in system, transfer PR to PO, release PO to vendors
- Delivery tracking, goods receiving and confirmation, provide required documents to Finance Department for payment settlement
· Stationeries and staff rooms resources ordering, quality assurance, management of inventory level
· Academic resources ordering, mainly for textbooks, teaching materials, online resources. Goods delivery on time and on quality
· Vendor management:
- Vendor qualification collection and verification
- Vendor account setup and maintain in system, vendor pool updating
- Monitoring of vendor’s contractual compliance and performance, seek for improvement
· Put all required documents in archiving, with well-organized manner
· Assist in bidding process and reviewing of contracts
· Collaborate with Academic or other departments for the co-projects
· Internal training, growth and development of professional skills and soft skills
Personal Qualification:
· Office software (Word, Excel, PowerPoint) with sufficient skill to maintain purchasing records and reports
· Bachelor’s degree or above
· Fluent English, both oral and written
· Experience in a purchasing role is preferred
· Experience in using of Dynamics 365 is preferred
· Must be a person of high integrity and compliance, strictly follow the purchase policies and procedures
· Responsible, self-motivated, passionate
· Efficient communication and quick actions
· Detail oriented, good working behaviors, able to consistently maintain records and accumulate data for the purchasing process continuously improvement
