职位描述


Work Responsibility:

    

q  Ensure DEPARTMENT administrative activities, provide assistance in daily management

    

q  Management of Director's working and department calendar

    

q  Perform administrative & secretarial work for DEPARTMENT and follow up, Collect in the team, the different subjects to deal about.

    

-       Video projector/Laptop/Camera/printer/meeting room management

    

-       Stationery forecast and distribution

    

-        DEPARTMENT Layout Management  

    

q  Travel application and NDF

    

q  Realize DEPARTMENT spirit through various ways (monthly star, team building etc.)

    

q  Assets Accounting Treatment and Management.

    

q  Reception of visitors& new comers & trainee& BEX.

    

-Help NEO for their installation, ID card/ Name picture preparation, and relevant file to update.

    

-Take time to introduce main information to new comers

    

q  Other secretary jobs....

    

q  Ensure the budget management and update for DEPARTMENT

    

q  Collect within DEPARTMENT, each department budget request and define with the director the budget.

    

q  Ensure the daily progress of the budget

    

q  Redefine A1/A2/A3/A4 forecast.

    

q  Ensure the strict application of budget process by all DEPARTMENT staff.

    

q  Responsible for Budget : travels/translations/invitations

    

q  Support the Matrices Circle for DEPARTMENT

    

q  Collect within DEPARTMENT, each UEC resource request

    

q  Recheck with each project lead with realistic needs

    

q  Monthly Deployment with Finance

    

q  Support the Headcount and Project management for DEPARTMENT

    

q  Collect within DEPARTMENT, each department HC request

    

q  Define with DEPARTMENT Director hiring plan and BEX number with respect to global

    

q  Ensure BEX cost on line with DRDS strategy

    

q  Support the Excellent System (PES) deployment in DEPARTMENT.

    

q  Lean:

    

-       Participate in DEPARTMENT progress plan definition and check.

    

-       Take into account UEC and LEAN evaluation and assessment

    

-       Realize UEC audit.

    

q  5S:   Ensure 5S deployment in DEPARTMENT

    

q  Participate with the technical team of DEPARTMENT, to the set up and update the annual training plan and monitor DEPARTMENT technical training q  According to the priority defined in DEPARTMENT, define training need q  Set up and organize the General training q  Give some support to organize some technical training. q  Ensure a good organization of the training material q  DEPARTMENT School Management with respect to DEPARTMENT spirit q  Organize and deliver  DEPARTMENT Dept. Life NEO training

    

Give some support for DEPARTMENT global skills management

    

q  Ensure the data management for DEPARTMENT. q  In link with the IT team and the support of each DEPARTMENT UECs, set up some intermediate solutions & training in order to realize the DEPARTMENT data management. q  Management of the team Goal: Check end ensure that the personnel update in time load management tool. q  DEPARTMENT data management in server and docinfo. q  OBEYA Update with all métier KPIs

    

Documents management docinfo

    

q  Ensure the relationship with the main internal partners of the direction.

    

q  Ensure the relations with the main internal partners of the direction: business trips organization (itineraries, booking, budget, reimbursements, and invitation letters). Translation of documents and do interpretation if needed

    

q  Rituals set up with all counterpart

    

q  Sponsor of University Internship program

    

q  HR: training evaluation /Dept. population follow up etc…

    

q  Financial: To make the filing, and keep a record of all important documents, including purchase request& payment request & NDF.

    

q  Department Quality Work Management

    

q  KPI Management for all UECs

    

q  Manage and statistics of all the documents which related to department work quality

    

 

    

    

Requirement:

    

q  Bachelor or above degree

    

q  Coordination or transversal management experience necessary

    

q  Microsoft office background

    

q  Budget management knowledge and lean or equivalent experience appreciated

    

q  Leadership, Good relationship and cooperative with all employees

    

q  Positive & dynamic

    

q  English fluent

    

q  French Preferable
