JOB DESCRIPTION

Help Desk


POSITION GOALS
Provide comprehensive facility and service with a focus on continuous improvement. Achieve satisfaction and understanding from clients.

DUTIES AND RESPONSIBILITES
Help Desk is the first line to client, who must make sure to contact with every focal point at very first time so that the action will be done in time.

Facility Operations
- Work and manage the Facility Service Center Hotline and make records for each case.
- Transmit the information to related focal points according to the requirement from customers.
- Work Orders management in Maximo System. Creating the work order for the engineer department in Maximo System, collecting and checking work orders, following up the status and reminding all the engineers to finish cases in time, and closing the work order which feedback from engineers, classifying and getting them on file.
- Prepare and submit weekly report for status analysis and monthly work order reports to the CBRE team located in USA.
- Undertake functional mail box request collection and dispatch.
- Classifying the washed working clothes twice a week.
- Updated the TV program on both gates.
- Manage and loan Extension cords.
- Manage and update conference information in global address book and IP-Phones information in conference rooms.
- Vending machine lost and found records.

Profitability/Saving Initiatives
- Coordinate with cleaning supplier to control the amount of daily and office suppliers.

Customer Service/Client Relationships
- Provide superior customer service
- Ensure feedback from client sessions is recorded and auctioned to the satisfaction of the end user.

Reporting
- Provide weekly data analysis, including cleaning and engineering maintenances, and repeat cases review.
- Verify daily outstanding work orders from Maximo System to remind every related engineer, and make sure to finish cases in time.

Training
- Actively participate in all planned raining activities.

Leadership/Staff Management
- Actively support an environment that supports teamwork, cooperation & performance excellence within the team.

KEY PERFORAMANCE MEASURES
- Refer to the Individual Performance Agreement (IPA) for key performance measures.
- Interpersonal skills with a strong client focus.
- Knowledge of local occupational safety requirements.
- Demonstrated initiative.
- Good written and oral communication skills.
- Ability to solve problems.
