? Secretarial work: Meeting arrangement, Travel arrangement, Documents sign off, PepsiCo system support, maintain administrative files and provide clerical support to Sales Director as required
文秘类工作:会议安排,行程安排,文件签署,PepsiCo系统支持,行政文档整理,其他销售总监需要的行政工作
– Review meeting request with SALES DIRECTOR on daily bases, coordinate with other assistants to finalize the time slot, prepare document as required, book meeting room and send request and remind for attendee to make sure the smooth and successful meeting administration
与销售总监回顾当天的会议要求;与其他助理协调会议时间;准备需要的文件;预定会议室;为保证会议顺利进行,提前给其他参会人发送会议要求与提醒;
– Guided by cost effective principle and SALES DIRECTOR’s preference, arrange proper transportation and accommodation for each travel, ready to provide help for any emergency, prepare travel folder including itinerary, meeting agenda, meeting material and air tickets in advance for SALES DIRECTOR’s easy use
按照预算指导原则与销售总监的意见,安排出差相应的交通与住宿;提前为可能的突发情况做准备;提前准备出差相关的文件供销售总监使用,包括行程单,会议日程,会议材料,机票等等
– Collect documents which required endorsement of SALES DIRECTOR from all departments, prioritize according to importance and emergency
收集整理其他部门需要销售总监批复的文件,按照重要程度与紧急程度排序
– Support SALES DIRECTOR effective using of PepsiCo system (e.g. E-approval, My access, PepsiCo portal…)
协助销售总监有效率地使用PepsiCo系统(例如审批,开通权限)
– Document (e.g. letter, Memo, fax, presentation…) drafting and Filing as required. Set clear documents filing index for easy search
相关文件的起草与归档(如信件,备忘录,传真,演讲稿)。设置清晰的文档索引制度。
– Purchase of gifts as required by SALES DIRECTOR
按照销售总监的需求准备礼物
? Time management and coordination
时间管理与调度
– Provide scheduling support to SALES DIRECTOR. Ensure all the meetings and business travels including the time of transportation in the calendar by considering the time difference
销售总监的日程安排。按照时间差异,保证所有的会议与商务旅行都被记录在日程表中
– Provide support and assistance in planning and organizing all management meetings and take minute at meetings (if applicable)
支持并协助所有管理层会议;必要情况下参加会议
? Global visitors and External VIP’s receiving and National meeting support
***会议支持与迎接国际和国内贵宾
– Logistic (including transportation, accommodation, meal arrangement, visit and activity scheduling and arrangement, receiving people coordination…) arrangement and Global visitors
外宾的现场与后勤支持,如交通,住宿,饮食安排;访问与活动安排,接机调度等等
– Work with task force for National meeting logistic support
与工作队一起完成会议后勤支持
– Coordinate with HR department
与人事部协调商议相关事宜
– Follow SALES DIRECTOR’s schedule and make sure all logistic issues (material, documents..) has been arranged properly
回顾销售总监的日程安排,保证一切后勤事务(材料,文件)已准备妥当
– Part of task force for assigned work and provide on-site support.
提供现场支持
– Coordinate with Peers for all logistic arrangement (e.g. name list, activity participation, accommodation & transportation…)
与其他同事协作完成后勤事宜(如名牌,活动参与度,住宿与交通等等)
? Provide administrative support to Sales team
销售团队的行政支持
– Render administrative support to Sales team, including monthly stationary application, new hire on-boarding logistics and other tasks assigned by Sales director
销售团队的行政支持,包括月度的文具申请,欢迎新入职员工与其他由销售总监不知的任务。
– Support Director level and above on monthly expense settlement e.g. air ticket fee, stationary fee, limo exp. Etc
协助总监及以上领导的报销,如机票,文具费用,车费等等
– Support on intranet maintenance

Key skills/ Critical experience关键技能/经验标准:
? Associate Degree or above
本科学历及以上
? 3+ years secretary experience
三年以上文秘工作经验
? Good English skill in both oral & written
英语听说写流利
? Good computer skill, be familiar with Microsoft Excel, Powerpoint
熟练操作电脑,熟悉Office excel, PPT等
? Independence in handling complicated tasks and coordination
