职位描述
ESSENTIAL JOB FUNCTIONS:
(The fundamental job duties)
Inquiry / Order Taking
Handle order entry process (Email, Fax, Automated - voice response, internet, direct system orders & etc), including normal product order, sample order and goods return order.
1 Receive and acknowledge customer orders
2 Input order into system for order validation within one working day upon receiving of customer PO.
3 Ensure orders are only processed without bypassing credit check
4 Close follow up each open order and well communicate with customer / sales to ensure contract fulfillment
Order Validation
1Validate orders and contact other internal interface, need appropriate solution if orders are suspended with following issues:
2 Credit block
3 Pricing block
4 Inventory availability, including reconfirming orders with next delivery date if stock is not available
5 Status of contract terms (pricing, payments, delivery date, etc)
6 Coordinate to meet delivery dates before rejecting or re-confirming orders
7 Internal replenishment - orders & dispatch
Confirmation
1Send official order confirmation via email or fax to customer for acknowledgement within one working day upon receiving of customer PO.
2 Adjust sales order in case of inventory status change and acceptable customer change requirement
3 Double confirm with customer regarding Delivery Address, Shipping Method, etc.
4 Inform sales of any rejected orders
Coordinate inventory allocation
1 Work with Purchase / Logistic team/sales teams for stock allocation in case :
2 Reserved order / buffer stock for approved customer
3 Urgent/special requirement of customer
4 Handle Customer Complaint
5 Record all customer’s complaints/issues via phone, email or fax, and sent it to QA & related dept..
6 Follow up the investigation and response to customer for final solution.
7Vendor master data maintenance
8 Establish new vendor in SBO system
9 Revise or update system vendor info while related party requests.
10 Conduct annual vendor data review.
