Job Description:

• Performs Administration task for the Director.
• Screens Director’s telephone calls, takes messages and initiates follow-up action as appropriate.
• Organizes the Director’s time to best effect; controlling diaries, meeting rooms and avoiding conflicts; supporting meetings through preparation of agendas and papers.  Set up meetings via WebEx as required by management.
• Monitors requests for action from Directors and take appropriate follow-up action eg chasing replies; write ups, information etc from colleagues.
• Reviews incoming correspondence, replies directly to straightforward enquiries and drafts responses on matters for which authority has been delegated, or seeks responses from colleagues on more complex issues.
• Maintains and oversees the effective maintenance and filing system for proposal / tender documents and material generated from the offices of Director.
• Compiles and coordinates the flow of paperwork including periodic and special reports for the offices of Director.
• Management business trip management and maintenance – including transport needs.
• Liaise with other departments as needed in the support of Directors needs.

 

Requirements:

• Possess a Bachelor degree.
• Possess minimum 5years of secretarial experience or relevant experience in administration, preferably in a multi-national company.
• Be willing and able to take challenges.
• Possess high level of integrity and strong sense of initiation.
• Able to work independently and require minimum supervision.
• Good command of spoken and written English, strong communication skills.
• Support other departments as required by management.
