Description: The Juilliard School (Juilliard) is a world renowned, global performing arts conservatory and institution of higher learning located on the campus of Lincoln Center in New York and in Tianjin, China (The Tianjin Juilliard School, after being registered as a legal entity. It’s registered as Preparation Center of Tianjin Juilliard JV Institute at the preparatory stage.).Office management is essential to the success of the School’s academic programs as well as its day-to-day operations. The core business of Juilliard is to provide world class instruction in music, drama and dance to a diverse student body at the pre-undergraduate, undergraduate and graduate levels. Office Manager of the Preparation Center of Tianjin Juilliard JV Institute creates business value through professional office management, performs procurement of office supplies, etc. in support of the Prep. Center’s business objectives, and ensures office administration and processes lead to outcomes that align with those objectives.

Primary Responsibilities:

* Design and implement administrative policies by establishing standards and procedures for both Chinese staff and expatriates, and measuring results against standards

* Complete operational needs by assigning employees and following up on their results, as well as providing professional secretarial guidance to assistants/secretaries

* Achieve financial objectives by preparing annual budgets, scheduling expenditures, analyzing variances, initiating corrections

* Take charge of all office functions and manage daily administrative operation;

* Draft and distribute all administration memos and policies;

* Be responsible for organizing all kinds of company meetings and activities;

* Arrange and or supervise business travel activates including air tickets and hotel reservation, airport pick-up and etc. ;

* Be responsible for providing high quality office operation service;

* Office supplier sourcing, negotiation and management to make sure cost effective.

* Review and modified procurement policy as need, collect procurement needs for each department, planning and implementing the procurement procedure in accordance with approved procurement policy.

* Able to prepare administrative documents and reports

* Any other duties as assigned by management

 

Professional Requirements:

· A Bachelor’s degree in business administration or disciplines related

· At least 5 years of administration management.

· Procurement experience is needed. Strong and hand-on experience in ERP deployment is highly preferred.

· Demonstrated sophistication in problem solving

· Capability in communicating with various parties and in complex situation

· Excellent verbal and written communications skills in Chinese and English

· Communist is preferred
