Specific Job Requirements
This position performs a wide variety of activities in support of assigned functional or multi-functional area. Those activities include but not limited to
? Handling complex projects which require the gathering, reviewing, and analysis of data.
? Coordinating events which include the planning, organizing and implementation of a number of event activities.
? Planning and making travel arrangements for other colleagues. Serving as a primary resource for data and information to others in a broad functional or multi-functional unit.
? Representing a functional or broader multi-functional area on administrative matters.
? Interpreting administrative policies and procedures when responding to queries.
? Recommending and implementing administrative policies and procedures.
? Interfacing with external parties to provide information and answer queries.
? Interfacing with a very broad range of internal management and staff in the course of meeting a wide range of administrative needs.
? Performing routine activities such as word processing, answering calls, creating Power Point presentations, assembling reports.
? Designing/revising processes to enhance workflow, which might involve the use of software to generate reports, statistics, timelines, correspondence and presentations.
? Coordinating the preparation of annual budget, reviewing monthly budget and variances as directed by immediate manager.
? Screening and prioritizing manager’s mails and emails.
? Acting as a resource to other administrative assistants and being cross-trained to cover for another administrative assistant.
Knowledge
? Excellent communication (both verbal and written) and interpersonal skills are required.
? Good working knowledge and understanding of general administrative policies and procedures.
? Ability to coordinate a variety of activities simultaneously and interface with a number of internal and external parties.
? Ability to work independently.
Specific Education and Experience Requirements
? A BA or BS degree is preferable. Secondary certificate/diploma or matriculated qualification and 5+ years of related administrative experience required.
