The Facilities Assistant must be a team player and work with other members of the team to meet all key performance indicators as set out in the management contract.

Facilities Operations
   Greeting to visitors
?Greetings to visitors
?Present a professional appearance and ensure reception area is clean, orderly, and fully functional
?Recognizing visitors’ types, including candidates, vendors, family and friends
?Assisting visitors to contact their host
?Ensuring visitors fill in necessary information, including names, companies and contact numbers
?Issuing visitor badges/stickers and reminding employees to escort their visitors all the time in client office
?Recording visitors entrance / leave time
  Phone Call Management
?Picking up the phone within 3 rings
?Greeting to the caller as “Good morning /afternoon, This is ..." for external call/ "Good morning /afternoon, This is (name) " for internal call; “Thank you for calling”
?Verifying the requests from caller, and transferring to appropriate receiver. Leave message and the callers' contact if failed to identify the callers
?Checking Voice Mail if any reminders on the phone, and responding to the caller with proper answer
Mail/express service
?Mail collection and distribution management
?Registration record management and filing
 Badge Management Assistant
?Distributing badge to new hired employees
?Verifying employee’s identity via Tool
?Helping issuing temperate badges for the employees who forget to bring badge
 Customer Service / Client Relationships
?Provide superior customer service
?Helpdesk services, response and track requests from end users
?Ensure reception duties compliance with client’s services standard and security policy
?Establish and maintain positive relationships with client and end users.
?Pro-actively manage Airbnb expectations ensuring that the service levels are maintained
Vendor Management
?Assist in the management of all contractors (cleaning, landscaping, pest control, etc.) on site ensuring their performances meets Client & JLL standards
?Direct the vender to compliance the procedures and SLA
?Monitor and review the vender performance regularly
?Ensure EHS protocols are being adhered to by contractors managed
Team Member
?Responsible for monitoring the office facilities & critical space environment
?Coordinate with AFM on facilities management in operational level. Including, but not limited to, contractor management, procurement management, supply management, site event support, finance related etc.
Risk Management
?Assist in the implementation and management of a property risk management program
?Follow established escalation procedures and incident reporting procedures
Reporting
?Provide input as required into the Monthly Report to Airbnb
?Maintaining the logbook required for services provided at reception, including but not limited to Luggage Service, Umbrella Service, etc.
?Active involvement in the monitoring and achieving the required Key Performance Indicators
Training
?Actively participate in all planned training activities
Others
?Ensure effective communication with landlord for facilities issue on behalf of client
?Ensure the site emergency contact list always up to date

Requirements:
? Related working experience is preferable, receptionist in MNC or Five -star hotel plus
?Refer to the Individual Performance Agreement (IPMP) for Key Performance Measures.
?Interpersonal skills with a strong client focus.
?Demonstrated initiative
?Good communication skills in verbal and written English
? Independent and Self Motivated
