职位描述
List of Duties:
? Maintain a high corporate and professional standard for the reception area at all times, including timely and appropriate assistance to candidates, clients, employees and guests of the company
? Greet and treat all visitors in a courteous and professional manner
? Ensure all calls are answered as per Randstad standards in a cheerful and professional manner, and that maximum assistance is provided to all callers. Pass on any messages taken in a professional and accurate manner. Please refer to script for correct way to answer phone as per Randstad policy
? Ensure reception area, interview and meeting rooms are stationery sufficient, neat and tidy at all times. Ensure computers at reception and all interview rooms are logged in for the day use
? Be familiar with Outlook calendar ensuring meeting rooms are not overbooked for next meeting and assist with booking of meeting room, where required
? Ensure adequate supply of candidate packs for interviewing
? Assist with candidate registration, interviewing and coordinating testing softwares as required
? Inform staff of any candidate and visitors arrivals and pass on any messages taken in a professional and accurate manner
? Responsible for a log of all passwords and logins for computer equipment located at reception, interview and meeting rooms
? Be familiar with the usage of Randsearch, entering candidate information, scanning of interview notes/reference check/ academic result etc as required
? Responsible for turning down of lights, shut down of all computers in reception area, interview and meeting rooms, ensure the area & rooms is neat and tidy for next business day use. Refer to Outlook Calendar; ensure there are no bookings for interview after 6.00pm before turn down for the day.
? Responsible to openup and lock up main glass door at the open and close of each business day
? Ensure you are familiar with the operating (recruitment) procedures relative to the Randstad business, company policies, usage of computer equipment in the office especially video conference and projector and other e-commerce technology as it is rolled out
? Responsible for organising and coordinating courier for local and overseas including preparation of airway/consignments note ensuring all deliveries are forward in a timely manner to the correct person
? Responsible for postage and clearing of mail and distribution onto the right person
? Ensure stationery cupboards are neat and tidy. Co-ordinate purchasing of stationery and any other office supplies as requested
? Ensure utility area is stocked up with copier papers and essential stationery. Make utility area tidy and neat for all users.? Assist with typing of contracts, labels, invoices and general correspondence. Proof read all documents typed by you and other staffAssist with co-ordinating candidate and client functions and events not limited to organising and follow up of invites and attendance list, and catering, where required
? Organise meetings and or booking of interview/meeting room as requested by Mangers
? Carry out such duties as may be reasonably required by the company from time to time and assist as required
? Within 24 hours of an incident, accident or injury occurring at Randstad’s or a client’s premises, record, follow-up and where required investigate to prevent future occurrence.
? Work with property management/ landlord for general maintenance of tenancy, leasing and issues
? Maintain relationships and service contracts with vendors and service providers, i.e. hotels, travel agencies, subcontractors for negotiation and claims appeal
? Liaise with local vendor and helpdesk on any IT related issues
? Handle office equipment maintenance e.g. photocopier, telephone system, printers, fax machines, telephone headsets, etc.
? Coordinate travel arrangements for local office staff and meeting arrangements
? Preparation of monthly expenses report
? Liaise with Finance for any invoices

Other Requirements:
? Bachelor degree with at least 3 years of relevant working experience
? Proficient in MS Office (especially Excel)
? Excellent command of both written and spoken English
? Be able to work independently, be detail-minded, and highly organized
