Job Purpose
To provide an efficient and responsive administrative, organizational, and logistical service to the business director, helping her to manage and prioritize her time. You will be responsible for providing full
assistance to the management team to ensure a high level of service is maintained.
The position will be of key importance within the organization and the successful candidate must have
good secretarial and administrative experiences within a fast-paced customer facing environment. You
will be able to demonstrate the ability to effectively plan and organize your workload and the initiative to
resolve issues quickly in an appropriate manner.
Main duties
Efficient Planning
· Dealing with appointments, requiring Bio or photos etc.
· Ensure busy diary commitments, papers and travel arrangements are managed effectively including, producing a daily folder with diary, necessary papers etc. and troubleshooting problems.
· Conduct weekly diary meetings with the Business Director to discuss upcoming engagements, invitations and other requests.
· Schedule on behalf of the Business Director meetings between her and her direct reports and the committees and groups to which she is a member.
· Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the Business Director to match her requirements
· Ensure the Business Director is fully briefed on, or prepared for any engagements she is involved in.
· Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Business Director.
· Prepare documents required for the meetings / visits that the Business Director will join
· Minute general meetings as required and complete research on behalf of the SD.
· Keep and retrieve files
· Ensure guests (incl. NZ global leaders) meeting or visits with the Business Director are well taken care of
· Provide a service that is in line with the Business Director’s work habits and preferences.
· To attend supervision, training and meetings as and when required. You may be required to perform
· other ad-hoc tasks that may be deemed necessary
Internal and external communication and coordination
· Prepare good presentation materials for different public communication purpose
· Collect and create good communication documents on sales / TS / marketing key wins, success stories
· Secure story is timely reported and shared by following global standard
Other ad-hoc tasks
· Information analysis
· Search for information required by business director or the management team for decision making
Qualifications
1. Be aware of Health and Safety standards
2. A good deal of common sense, etiquette and an ability to think on one’s feet
3. University level degree as well as some years of experiences of relevant business (“sales and marketing” preferred)
4. A minimum of four years PA/secretarial experience at a senior level
5. Good computer literacy (MS Office, Excel, PowerPoint)
6. Excellent organizational skills
7. Excellent communication skills, both verbal and written
8. Professional telephone manner
9. Proven ability to work under pressure and to tight deadlines
10. Bright, confident personality
11. Well presented
12. Highly personable
13. Flexible and mature approach with ability to work unsupervised
14. Willing to travel
