POSITION GOALS
Responsible for the achievement of efficient delivery of facility management services and support the client’s business needs in accordance with the Service Level Agreement (SLA) and Key Performance Indicators set out in the **IFM Agreement.
DUTIES & RESPONSIBILITIES
To deliver high quality, prompt and efficient Facility Management services in support of Client's business needs in a safe working environment.
Facility Management
Responsible for monitoring the office facilities & critical space environment;
Responsible for reporting and scheduling contractors for preventative maintenance;
Responsible for managing emergency situations and crisis while concurrently making arrangements for immediate repairs;
To carry out established escalation and incident reporting procedures;
Office Equipment & Environment Management
Assist the FM/Facility Supervisor to ensure all office equipment, including photocopiers, fax machines, paper shedders etc. are in good working order and consumables are replenish in a timely manner;
Assist the FM/Facility Supervisor to ensure a good and conducive office environment, including arranging office ad-hoc repairs, monitoring landscaping and cleaning services;
Vendor Management
Assist and support to manage vendors;
Conduct regular performance meetings to understand clients' needs;
Responsible for regular evaluation of the vendors’ service performance.
Customer Service/Client Relationships
Manage all soft service delivery including and not limited to purchasing of office consumables (paper, stationery and pantry items etc.) and printing materials. To report and submit purchase requests for client’s approval, make purchases only from approved suppliers and ensure delivery are on time and with accurate quantity.
To handle confidential document destruction and document archiving.
Keep good communication with client and their stakeholders;
Coordinate and support JLL supply chain and sourcing platform in related purchasing services;
Ensured Key Operations Procedures are followed to ensure service standards are maintained.
Assist to safe-keep confidential documents such as licenses and related documents.
Payment/billing management
Assist FM/Facility Supervisor to verify monthly statements, allocation of expenses and prepare reports to client;
To assist client, FM/Facility Supervisor to perform accruals;
To assist in updating of keys on a monthly basis.
Assist the FM team to identify ways to constantly reduce costs and improve operational standards
Keep good communication with landlord (if on leased property) and schedule monthly meetings with the landlord
To assist client/FM to perform reporting work, including monthly reports and KPI reviews etc.
Supervise the receptionists, tea-ladies and security guards;
Assist client/FM to perform restacking/relocation of staff;
Any other duties as reasonably assigned by the client/FM.

High level of communications within the organization and with the client.
Continuous improvement in the following
Staff satisfaction and morale;
Client satisfaction;
Improvement and savings initiatives for the client as well as JLL
Identification of business opportunities for JLL with the client.
Ensure the KPI targets for the account are met
GENERAL REQUIREMENTS ?
University Degree in any discipline;
Over 2 years’ experience in managing facilities preferred;
Strong interpersonal skills;
Good command of spoken and written English and Chinese languages.
