DESCRIPTION:
The Executive Administrator supports the administrative needs and management objectives of the VP & Regional General Counsel, APAC and the APAC Legal Department.
RESPONSIBILITIES:
  1. Manage complex calendar and scheduling requirements; align scheduling priorities.
  2. Be responsible for developing day-to-day schedule and prioritization of activities, proactively identify and resolve scheduling conflicts.
  3. Lead all administrative support functions, including organizing documents, preparing presentations and materials, meeting follow up and preparation, logistical arrangements, space planning, meeting agendas, org charts etc.
  4. Manage APAC outside counsel expenses and liaising with outside counsel and finance departments for different business units throughout Asia on vendor setup, billing issues, electronic invoice system issues, payment processing and necessary follow-up. Manage and maintain the outside counsel budget and department expenses.
  5. Regularly coordinate with counterparts in EMEA and LATAM to ensure consistent practices in law department management, outside counsel management, budgeting and financial and matter reporting.
  6. Supporting routine matter and financial reporting for the team, including compiling and formatting reports.
  7. Manage domestic and international travel and expenses for the team.
  8. All other duties as assigned including special projects.



REQUIREMENTS:
  1. Bachelor's Degree or equivalent relevant experience.
  2. 5+ years of experience supporting senior management in a fast-paced environment of multinational company.
  3. Exceptional verbal and written communications skills in both Chinese and English, and team-oriented philosophy. Able to communicate effectively.
  4. Excellent PC skills, including strong working knowledge of Microsoft Office (especially, Word, Powerpoint and Excel) and Outlook tools. SharePoint experience preferred. Able to quickly learn and adapt to new software processes.
  5. In-depth knowledge of administrative procedures and tools required to support executives.
  6. Finance or accounting education or experience preferred.
  7. React with appropriate levels of urgency to situations and events that require quick response or turnaround. Ability to switch gears at a moment's notice and meet short- and long-term deadlines.
  8. Ability to protect confidential and proprietary information using utmost discretion.
  9. Attention to detail, good time management and organizations skills.
  10. Demonstrate consistent high levels of service-orientation, initiative, reliability, and flexibility.
  11. Smart and collaborative; positive, proactive and able to always exercise great judgment.
  12. Cope with stress and maintain a professional, pleasant and cooperative temperament.
  13. Able to work independently in a self-directed manner, yet be a team player.
  14. Very ethically driven.
