Job Responsibilities:
1.Booking hotel, restaurant, ferry ticket, air ticket, car ect. for India & China staffs
2.Buying office supplies such as A4 paper, paper cup, coffee, tissue paper, pen, glue, stapler, file folder ect.
3. Paying the cost of rental & cleaning & water & electricity expenses for office.
4. Receiving express/samples in China office & delivering express/samples to Indian office.
5. Ordering water for office 601 & 605 regularly every week.
6. Supporting ffnance team to make an inventory of fixed assets, like computers, printers, projectors, video call etc.
7. Completing the payment of cleaning expenses for office.
8. Managing the SIM cards/transporation cards and helping Indian colleagues to recharge them.
9. Office environment protection: change potted plants for office regularly and make sure all the equipments including lights are in good condition, in case there is any damage or shortage, otherwise, we need to contact IT or Property Management Center to mend or exchange it.
10. Submitting Test Quotation & Penalty & Checking Goods Sheet to Finance team to issue invoices regularly and then give invoices to related colleagues in time every month.
11. Contacting with Indian admin to request them to help booking cab & hotel for visitors who will go to India for business trip.
12. Reception work for any visitors, either interviewer, vendors, or Indian colleagues ect.
13. Managing the daily expense account of ODM Team, for example, collecting invoices from all the team members every quarter to claim for the communication fee from FIN team, meal allowance for OQC team, application for reimbursement for departmental quarterly activities.
14.Supporting the preparation of the activities, for example, the new year celebration, the Mid-Autumn celebration, the annual travelling, birthday party, outward bound ect.
15. Buying the gift cards as Chinese Traditional Festival Gifts for the team
16. Managing culture photo wall and updating reward information regularly in China office.
17. Delivering admin expense report to its reporting manager every month.
18. Assisting its reporting manager to draft and publizing admin policies/procedures/process etc.
19. Making monthly attendance report for all employees in China office.
Job Requirements.
1.Colleage or above, major in management, english or relative disciplines.
2. At least one year experience in the field of admin or receptionist in MNC.
3. Good command of interpersonal skills, trouble shooting skills, communication & coordination skills.
4. Must be easy-going, patient, careful and customer-oriented.
5. Have strong ability in drafing admin policies/procedures/process is preferred.
6. Workable English including speaking, listening, writing and reading.
