职位描述

Position Title Executive Secretary
Working location: Beijing

JOB SUMMARY
Use independent judgment to provide timely and effective secretarial support to Managing Director, as well as administrative assistance to GM office.

PRINCIPAL RESPONSIBILITIES:
1. Carry out confidential secretarial and administrative duties for President of the
Group and the administration affairs of the President office;
2. Receive and handle incoming calls and take messages from external or internal
sources so that callers or visitors are dealt with promptly and accurately;
3. Well schedule senior managers' appointments, business travels and answer or
redirect routine enquiries from internal or external sources;
4. Accurately transcribe, type, format and proof read a wide variety of materials (for
example, correspondent, invoices, meeting minutes, reports, speeches, and
presentations) using word processing, presentation, graphics and spreadsheet
software as well as maintain systematic documents or records filing;
5. Responsible for bilingually translation for required materials as well as
simultaneous interpretation on some occasions upon requests;
6. Coordinate internal or external meetings, visits or events so that they run
smoothly, which may include scheduling meeting times, making travel
arrangements for attendees, and ensuring that various meeting amenities are
available, such as, equipment, food, drinks;
7. Liaise with internal departments or external parties to obtain and summarize
information for specialprojects if assigned;
8. Provide administrative assistance on Company documents: Board Resolutions,
document circulation etc.
9. Plan, organize, and schedule own workload so that the relevant activities are
completed accurately and on time;
10. Domestic or overseas travel by business needs
11. Perform other administrative tasks using independent judgment and discretion
12. Enable to consolidate and summarize the meeting minutes which the President
organizes the critical meetings (NICE TO HAVE)

QUALIFICATIONS:
Skill/Capability
1. Mature personality and strong interpersonal communication skill
2. Effective time management, organization and coordination ability
3. Able to work under minimal supervision
4. Continuously learning ability, especially for business understanding (preferable)
Know-how
1. Office technologies such as information storage system, scanner, internet or new
updated software packages

2. Good at spelling, punctuation and grammar
3. Business English proficiency

Relevant Working Experience
1. Minimum 5 years solid secretary working experience with 2 years secretary experience for senior management in multinational Company or local giant
2. Experience of working with expatriates (preferable)
Education Background
Bachelor degree or above, major in English
