Office Administrator/Logistics Coordinator
Location: Avnan Technology (Shenzen) Limited, Long Hua New District, Shenzhen
Position Objective:
As Office Administrator, you will support the China office by maintaining various administrative functions. You are organized and accurate and can work quickly to get things done. You are familiar with government requirements and processes and can complete required filings accurately.
As Logistics Coordinator, you will work with our Canada office to ensure that suppliers meet established timelines. You will proactively confirm orders and shipping schedules, handling and reporting all changes that may impact delivery. Success in this role is dependent upon your ability to process a lot of information and stay on top of any challenges that arise.
Key Responsibilities:
Administrative and Human Resources Support (approximately 50% of time)
- Greet visitors in person and over the phone
- Maintain company documentation, renew with government bureaus as necessary
- Maintain office supplies and equipment
- Work with outside service providers to maintain facility security (security, key management)
- Make travel, accommodation and event reservations as required
- Provide general office support to internal departments/individuals (copying, faxing)
- Arrange for maintenance and repair of ATS dormitory facility
- Maintain employee personnel files
- Create and maintain job postings and interview schedules
- Maintain updated files and file required documents for new and departing employees
- Maintain company Organization Chart
Supply Chain and Logistics (approximately 50% of time)
- Confirm shipping schedules with suppliers weekly
- Work with suppliers to get new POs confirmed
- Follow urgent and expedited shipments closely with suppliers
- Persist to expedite orders to ensure they ship on time
- Create accurate shipping documents and provide to Canada office
- Arrange local deliveries of samples and production
- Coordinate and keep record of courier shipments, internationally (via FedEx/UPS) and within inland China
Key Requirements:
- 2-3 years of Administrative experience
- Post-secondary education
- Excellent written and good spoken English is a requirement (CET4+)
- Knowledge of various government processes, procedures
- Experience working with suppliers to manage POs and expedite shipment/production dates
- Experience with courier, air and ocean shipments, including customs
- Detailed
- Good with numbers
- Positive, team-oriented attitude
- Able to sort through large amounts of information and highlight the most important
- Self-motivated, independent worker
