Major Responsibilities:

• Checking, monitoring and preparing the document, working files related to the department head.


• Supporting and provides assistance to department head and all members in the team.


• Managing the head's schedule, determining priorities in terms of objectives.


• Evaluating which random demands require the involvement of the head and then to facilitate this.


• Initiating the distribution of information to relevant managers, facilitating the execution of tasks, thus improving overall operating efficiencies.


• Operate, maintain and control an effective "follow-up" system, essential in terms of what is required in order to meet the various deadlines of head.


• Full responsibility for organizing team meetings, preparation and distribution of the agenda, writing and circulating minutes, follow-up and filing.


• Responsible for the enforcement of company policy in terms of procedures including travel, expense claims, personnel changes and appointments, etc.


• Responsible for controlling signatures, taking policy into account, urgency and forwarding of documents.


• Handling external enquiries related to various issues.

Qualifications:

• Bachelor degree or above, experienced in automotive industry is preferable


• Minimum of 2 years assistant experience in a multi-national company


• Excellent English skills in both oral and written


• Good computer skills with MS Office tools


• Organized, detailed and service oriented


• Strong communication and interpersonal skills, good team player
